The eLearning market is growing — fast. So fast, that from the $200 billion in 2019, it’s now expected to grow over $375 billion by 2026. And as people are warming up to the idea that eLearning is just as effective as traditional training, there’s never been a better time to think about how to start a training business.

Before you jump headfirst into starting a training business of your own, you’ll want to slow down and make sure you have everything in place. Do you know what will make your business successful?

Starting a training company isn’t much different from setting up any other company. You’ll still need to think about all the essential aspects of business 101: Who’s your client base ? How will you persuade them to choose you? How will you beat the competition ?

1. Know your audience

Before starting your own training business, you need to decide who you’ll target with your business.

Enter market research.  The best way is to hire a market research company that can assess the viability of the training business you’re considering. A more affordable option is to talk to people, run an informal survey, or put up a simple “sign up for updates” form on your Facebook or landing page to gauge people’s interest.

Ultimately, the goal is to land on a specific target audience for your services before you start a training business. Who are they? What do they need to learn? What do they want to learn? The next step is to determine how large this audience is . This way you’ll be able to estimate your company’s profitability.

Sustainability and profitability are two elements you should look at before you commit your time and money to start an online training business. We started using talentlms a year ago to create an elearning/training product for our Nonprofit Accounting Software product. Our experience has been wonderful. You also need to be careful when seeking investment. Investors want their money to be used to grow the business, not spent on consulting fees. Therefore, the amount you spend on business plan writing services (and other consulting services such as legal services) needs to be negligible relative to the amount raised.

The other drawback is that you usually don't own the business plan itself: you just get the output, while the actual document is saved in the consultant's business plan software - which makes it difficult to maintain the document up to date without hiring the consultant on a retainer.

For these reasons, outsourcing the training center business plan to a business plan writer should be considered carefully, weighing both the advantages and disadvantages of hiring outside help.

Ultimately, it may be the right decision for some businesses, while others may find it beneficial to write their business plan using online software.

I must advise against using Microsoft Excel and Word (or their Google, Apple, or open-source equivalents) to write your training center business plan. Let me explain why.

Firstly, creating an accurate and error-free financial forecast on Excel (or any spreadsheet) is highly technical and requires a strong grasp of accounting principles and financial modelling skills. It is, therefore, unlikely that anyone will fully trust your numbers unless you have both a degree in finance and accounting and significant financial modelling experience, like us at The Business Plan Shop.

Secondly, relying on spreadsheets is inefficient. While it may have been the only option in the past, technology has advanced significantly, and software can now perform these tasks much faster and with greater accuracy. With the rise of AI, software can even help us detect mistakes in forecasts and analyze the numbers for better decision-making.

And with the rise of AI, software is also becoming smarter at helping us detect mistakes in our forecasts and helping us analyse the numbers to make better decisions.

Moreover, software makes it easier to compare actuals versus forecasts and maintain up-to-date forecasts to keep visibility on future cash flows, as we discussed earlier in this guide. This task is cumbersome when using spreadsheets.

Now, let's talk about the written part of your training center business plan. While it may be less error-prone, using software can bring tremendous gains in productivity. Word processors, for example, lack instructions and examples for each part of your business plan. They also won't automatically update your numbers when changes occur in your forecast, and they don't handle formatting for you.

Overall, while Word or Excel may seem viable for some entrepreneurs to create a business plan, it's by far becoming an antiquated way of doing things.

  • Having an up-to-date business plan is key to maintaining visibility on your future cash flows.
  • A business plan has 2 parts: a financial forecast highlighting the expected growth, profitability and cash generation of the business; and a written part which provides the context needed to interpret and assess the quality of the forecast.
  • Using business plan software is the modern way of writing and maintaining business plans.

Traditionally, a marketing plan includes the four P’s: Product, Price, Place, and Promotion. For a personal training business plan, your marketing strategy should include the following:

Long-term goals are the milestones you hope to achieve. These could include the dates when you expect to book your Xth session, or when you hope to reach $X in revenue. It could also be when you expect to expand your personal training business to a new city.

Balance Sheets

Balance sheets show your assets and liabilities. While balance sheets can include much information, try to simplify them to the key items you need to know about. For instance, if you spend $50,000 on building out your personal training business, this will not give you immediate profits. Rather it is an asset that will hopefully help you generate profits for years to come. Likewise, if a lender writes you a check for $50,000, you don’t need to pay it back immediately. Rather, that is a liability you will pay back over time.

Cash Flow Statement

Your cash flow statement will help determine how much money you need to start or grow your business, and ensure you never run out of money. What most entrepreneurs and business owners don’t realize is that you can turn a profit but run out of money and go bankrupt.

When creating your Income Statement and Balance Sheets be sure to include several of the key costs needed in starting or growing a personal training business:

  • Payroll or salaries paid to staff
  • Business insurance

As with all areas of your business, effective training requires effective and strategic planning. Here, we’ll be looking at the key elements of various employee training plans — and discussing all that goes into creating templates for all training occasions.

What is an Employee Training Plan?

An employee training plan is a document that describes a training initiative in clear detail.

While individual plans vary in scope, all plans typically explain:

  • The purpose and goals of the initiative
  • Who is involved, and in what capacity
  • How the training will proceed

Training plans can be created for individual employees, specific segments of your team, or for your entire organization to take part in. Plans can apply to short-term (and even one-off) training initiatives, or to more long-term training campaigns.

Throughout this article, we’ll be discussing the many common threads that run through your various employee training plans — and how to use these common threads to develop effective templates for your training initiatives..

Essential Elements of an Employee Training Plan

On that note, let’s take a look at the key elements all employee training plans should include regardless of other variables.

Objectives and Rationale

All training plans should explicitly state the purpose of the initiative, in terms of both the trainee and the company as a whole.

This purpose should be backed by clear rationale, connecting the trainee’s efforts to their future performance — and, in turn, connecting their growth to overall business growth.

Targeted KPIs & Measurement Methods

Employee training plans should also define key performance indicators as a way of measuring performance and success.

You’ll also define overarching business KPIs, again connecting employee and team performance to changes in your bottom line.

Audience and Stakeholders

Training templates should identify all parties involved in the campaign — and define the specific role each party will play in the process.

This includes:

  • The learner(s)
  • The trainer(s)
  • The project managers/leaders
  • The executive stakeholders

You might include additional info as to how these roles relate to one another, too. Defining dependencies between trainer and trainee, for example, will help streamline the experience for both parties.

Timeline and Scheduling

All employee training templates should provide a timeline for the initiative in question.

Depending on the circumstances, this timeline might define:

Benefits of Creating Employee Training Plan Templates

To be sure, spending the time to create effective employee training plan templates will benefit your team in a number of ways.

For starters, having a plan in place for every training campaign you put together will improve the effectiveness of each campaign from the get-go. This, in turn, will lead to a number of long-term benefits, like:

  • Improved employee and team performance
  • Increased job satisfaction and talent retention
  • Improved teamwork and stronger company culture

Proactively creating employee training templates before you actually need them will be beneficial to your efforts, as well.

  • Consistency : Creating training plan templates allows you to take a consistent approach to specific types of employee training sessions. In turn, you can be sure that each training initiative you create uniformly follows best practices and standard procedures.

Best Practices for Creating Employee Training Plan Templates

There’s more to creating effective employee training plan templates than just doing a quick Google search and using another company’s documents.

(Truth be told, even the ones we’ve provided aren’t fully usable in their current condition.)

While these existing templates give you a good start, you’ll still need to tailor them to make them your own — and to ensure they have a positive impact on your team’s training efforts.

As you tweak these training templates to fit your needs, make sure you follow these best practices.

Create Templates for High-Priority Training Purposes

Over time, your goal is to have a template prepared for every possible type of employee training you put on.

But, if you’re just starting to create your template library, you’ll want to prioritize certain types of training templates based on your current situation.

Some factors to consider:

  • The impact the training initiative will have on employee, team, and business performance
  • How frequently the training takes place within your organization
  • How standard (or varied) the training sessions need to be

Again, this all depends on where things currently stand for your company. If, for example, you’re bringing new hires on rapidly and routinely, you’d need to be confident that your onboarding plan is seamless and effective.

(Conversely, if you’re in the midst of a hiring freeze, you can put your onboarding template to the backburner while you focus on more relevant training initiatives.)

On top of streamlining your high-priority trainings, this approach will allow you to give proper attention to the templates that may not be a priority at the moment — but that are no less important to team productivity in the long run.

Get Input From All Stakeholders

Everyone that’s involved in the training in question should also be involved in the creation of the training template.

  • Trainers/Facilitators
  • Trainees/Learners (current and former)
  • Performance Assessors
  • Executive team members

Trainers, leaders, and other decision-makers will of course be in charge of developing the templates — whether from scratch or via tweaking a publicly-available document. Here, discussion will be needed to ensure all necessary sections and relevant information is presented clearly within the document.

Trainers, assessors, and even former trainees can help with organization, presentation, and language usage within your templates. In turn, your templates will become more digestible specifically for those who will be using and relying on them most.

In getting input from all involved stakeholders, you can be nearly certain that your training templates provide everything they need to know to get moving.

Communicate Context Within Your Training Plan Templates

Going along with the above, your employee training templates should allow for contextualization of all relevant info.

In other words, it needs to be crystal clear why the information presented in the document is relevant to the situation at hand.

As we’ve discussed, your training plans should always explain:

  • What the training entails
  • What your performance and business goals are
  • Why training, specifically, is what’s needed to attain these goals

This will give your stakeholders a more holistic, “real-world” understanding of your upcoming training sessions.

(This, as opposed to approaching each initiative as if it exists in a vacuum — which would only hinder your efforts moving forward.)

Make Data-Driven Improvements to Your Training Plan Templates

Okay, so the whole reason you’re creating these templates is to use them repeatedly, making relatively minimal changes with each use.

But, you never want to think of these templates as being completely set in stone.

Rather, you should always be looking for ways to improve upon the training templates that are already working wonders for your organization.

(In some cases, improving your templates may be the necessary step toward improving your team’s training-related efforts altogether.)

At the center of these improvement efforts:

This may include:

  • Training performance outcomes
  • Stakeholder feedback
  • Changes in trainee and business performance

You never want to make concrete changes to your employee training templates without concrete evidence and rationale to back them up. Building intentional data analysis into your template development processes ensures you always take this step — and ensures you never adjust your templates based on anything less than the facts.

Document Template Changes (and Lessons Learned)

Internal documentation is a key part of the process, in two ways.

For one, you want to keep a record of the actual changes you make to your training plan templates over time. This will help you track the evolution of these documents — which can in turn help you identify what works (and what doesn’t) when developing employee training plans.

(And, if you need to revert to a previous version of a template, this will make the process super simple.)

It’s also crucial to document the reasons for any changes you make to your templates over time. More than just improving your approach to template creation, this knowledge can potentially allow you to make improvements to your overall approach to employee training as a whole.

Revealed: Nottingham Forest’s ‘master plan’ for new-look City Ground and training base

Inside the office of Tom Cartledge, Nottingham Forest ’s chairman, there is a collection of closely guarded designs showing how, one day, he sees the new-look City Ground. He calls it the “master plan” and, for those aware of the long and complex history, it is the first glimpse into a brave new world. 

That is said with a measure of restraint when, even now, there are still obstacles to negotiate. It is one of the reasons why Evangelos Marinakis, the club’s owner, appointed Cartledge in August: to navigate through the issues, to help create something exciting and long-lasting and, ultimately, change the skyline on their stretch of the River Trent.


Take a walk across Trent Bridge and, if you look across the water, you will see that work is underway. One of the vertical floodlights, a fixture here for decades, was taken down this week in anticipation of planning approval to put up a new “corner box” of executive suites . The structure is built from shipping containers and takes its inspiration from Stadium 974 in Qatar at the 2022 World Cup. Another is going up on the opposite side of the Trent End and, if everything goes to plan, both will open before the end of the season.

But there are bigger projects underway that, unreported until now, would dramatically enhance the stadium that has been Forest’s home for 125 years and, so Marinakis hopes, bring immense benefits for Nottingham as a whole. 

That plan will involve:

  • Increasing the stadium’s capacity to 40,000 from its current level of 29,550.
  • Extending the Bridgford Stand by another 5,000 seats, to go with replacing the Peter Taylor Stand with a two-tier 10,000-seat replacement.
  • Building a new state-of-the-art training ground, with an announcement expected soon about location. 
  • Opening a museum in the bowels of the Trent End. 
  • Extending the current lease with Nottingham City Council, which owns the land the stadium sits on, or potentially buying the freehold.

Uppermost in Forest’s mind is finding a way to accommodate the thousands of fans who cannot get tickets for matches — the club’s data suggests they could have sold 50,000 tickets for a number of games since their return to the Premier League — and that, by developing the stadium, the club will generate huge streams of new revenue.

That extra income will, in turn, help Marinakis to continue putting significant amounts of money into the team at a time when the owner’s ambitions have to be aligned with the Premier League’s profitability and sustainability (P&S) rules.

“He wants to invest in the city of Nottingham,” says Cartledge. “He doesn’t want the club to be held back and, in the modern sport, one of the best ways to ensure we are sustainable is to invest in the asset.”

While Forest have talked internally about the pros and cons of building a new stadium, that is merely because the sensible approach for any club in their position is to debate every option. Marinakis is very clear he wants to stay at the City Ground. He has given the green light to finance the redevelopment and Forest would already have submitted the planning application for the Bridgford Stand but for an ongoing issue with the lease/freehold.

“If the city council gives us the nod, he (Marinakis) wants me to get on with everything straight away,” says Cartledge. “The owner’s appetite hasn’t stopped. He is trying to spend, where appropriate, to improve the fan experience and increase the capacity. We can read into that he wants to stay here.”

So what exactly is the issue with the council? And why is it also preventing Forest from sending in the bulldozers, as they had hoped, to start dismantling the Peter Taylor Stand this summer? 

It certainly needs some form of explanation given that the former chairman, Nicholas Randall, announced in 2019 that the club had been granted a new 250-year lease. Randall said he was “delighted” to secure the future of the club’s home ground.

In fact, the agreement was never completed. Forest have been operating, as before, with a 50-year lease agreement from 2011 and, before starting a redevelopment of this magnitude, the club need the securities and insurance of knowing the council will not, at some point, come up with alternative plans for what is a prime riverside location. As it stands, there is no such guarantee.

It is, to say the least, complicated. In November, the council issued a Section 114 notice, declaring itself, in effect, bankrupt and meaning they will have to make all sorts of cuts to services across the city. The government is proposing to send in commissioners to take control and, even before that point, everything with Forest had come to a standstill, to their intense frustration.

The club currently pay an annual lease of £250,000 a year and have tried on a number of occasions to renegotiate a longer agreement. That process has accelerated since Cartledge was made chairman. However, it is understood the council is asking, as one option, for the annual rent to be almost quadrupled.

When it comes to the freehold, the council values the land as potentially a future residential area. Therefore, the figures quoted are dramatically higher than would ordinarily be expected — and, for Forest, unviable. It has reached an impasse and, with the council in a state of financial crisis, there is no indication when that position might change.

The worst-case scenario for Forest is that the delays will be considerable and the issue remains unresolved for a long time. If so, it is feasible the club may have to rethink everything. And, yes, that would involve looking more closely at exploring Plan B: the idea of an entirely new stadium, perhaps further out of the city.

That, to be clear, is not Forest’s preferred option. Nor would it make any sense for the council when its own leader, David Mellen, has previously talked about the City Ground redevelopment helping, as part of the wider Nottingham Southside regeneration, to bring “thousands more jobs, millions more visitors and economic growth for the benefit of the entire city.”

“I don’t think there has ever been a project in this city, across all its assets, where somebody is prepared to put in between £100million and £200m, as our owner is for both the Peter Taylor Stand and the Bridgford Stand,” says Cartledge. “It will create a huge number of jobs. Hotel rooms will be full, restaurants will be full. The benefits for the city will be huge.”

This is Cartledge’s area of expertise given that he is the chief executive of Handley House Group, the parent company for four international businesses specialising in design and architecture. One of those is Benoy, which has designed the stadium plans. Cartledge is a long-term Forest fan who understands the club are at a disadvantage, financially, compared to most Premier League clubs because the City Ground brings in little revenue outside matchdays.

Changes to P&S rules make it even more imperative for clubs to increase their non-football revenue and, with that in mind, Forest are keen to make the stadium a hive of lucrative activity, seven days a week. The proposed Peter Taylor Stand includes conference and banqueting suites that would be available to hire. The stadium will host a Take That concert this summer and that kind of event would, in theory, become the norm outside the football season.

“For the football club to be competitive, infrastructure of the stadium is now one of the critical things,” explains Cartledge. “Look at the success of Arsenal , Spurs, Manchester City , Manchester United and a few others and it is very often the revenue from off-field activities that is allowing these clubs to dominate.

“Look at the success of Manchester on the back of its football clubs. Manchester has revolutionised itself and a big part of that is because they have two global brands operating in the city, with all the wealth that brings. There is no reason why we can’t do the same here in Nottingham.”

To Marinakis, the idea of a new training ground has been part of his thinking since the Greek shipping magnate bought the club from Fawaz Al-Hasawi in the summer of 2017.

All sorts of improvements have been made to upgrade the current training ground in West Bridgford, a mile or so from F orest’s stadium. The ground-floor space has been doubled. New buildings have gone up, pitches have been replaced, facilities upgraded.

Always, though, the Forest hierarchy has been acutely aware they did not have the land to create what they wanted: a purpose-built site that could accommodate the men’s, women’s and academy teams without being hemmed in by housing. 

Forest’s current training ground falls a long way short of the facilities at Olympiacos, Marinakis’ Greek club. Closer to home, Leicester City ’s training base, which opened in 2020 not far from the Nottinghamshire border, is another reminder that Forest have fallen behind.

“There is a recognition that our existing facilities are too small and incapable of accommodating, as one, the women’s team, the academy and what the Premier League expectations are for the first team,” says Cartledge.

That has led to Forest looking at a number of potential sites and in the coming weeks the club hope to be in a position to make an official announcement. As soon as that happens, the planning processes will begin.

“A piece of land has been identified, which will accommodate everyone and help us attract talent, not just at first-team level,” says Cartledge. “Kids will be coming to a place that is ambitious and has all the best facilities. It’s another ambition of the ownership: to treat the players and the future talent of the club in the best possible way.”

Ideally, Marinakis would like to have the training ground, the two new stands and everything else up and running at various points between now and the end of 2027. Work on the Peter Taylor Stand would take roughly 18 months, though it is expected the lower tier would be operational much earlier.

In the meantime, changes will continue at the stadium Cartledge describes as “our romantic home.” Workmen are clearing space for the corner boxes, which will each have 18 executive suites, creating space for another 360 spectators. The development will cost in the region of £5million and, in the coming years, Forest will look again at the corner of the Trent End and the Brian Clough Stand. Do they keep the corner structure on that side? Or will they be even more ambitious?

“If we really want to find a few more seats, we look at how we connect the two stands,” says Cartledge.

Other changes are already evident. Work on the museum project started soon after Cartledge’s appointment and the club are close to announcing its launch. When open, it will form part of stadium tours. Another club shop will open as part of the same development.

Forest’s intention is to solar-panel the roof of the Brian Clough Stand to generate their own power for matchdays. A fan zone opened earlier this season and there have been other cosmetic changes inside a stadium that, in the words of former manager Steve Cooper, “oozes football soul.”

At the same time, Forest acknowledge it is five years since the plans for the Peter Taylor Stand were announced and that, at the time, the club let it be known they anticipated the work starting at the end of the 2019-2020 season.

The delays have been considerable. The planning process involved dealing with three councils and maybe, on reflection, there were people at the club who did not fully appreciate the huge complexities of a case that, at the last count, had 1,858 documents and 2,556 comments attached to the planning application.

Forest have had to sign off all sorts of financial deals, known as S106 agreements, to pay for everything from new bus stops and cycle routes to a park-and-ride scheme and road-safety improvements, as well as provisionally arranging for the adjacent boat club to be relocated a short distance along the river.

There have been archaeological surveys, checks for Japanese knotweed and wildlife experts monitoring whether there were bats or birds of prey using the stadium. Add in the Covid pandemic and objections from local residents and… well, it hasn’t been straightforward getting to a position, as of this week, when the last pieces of paperwork are finally being signed off.

“The whole process has been a bit more sluggish than expected,” says Cartledge. “I’ve seen fans saying, ‘These are all false promises, it will never happen.’ But that’s not correct. The owner has always said, ‘Get these things done’. I was brought in partly to unlock the problem.”

The stadium designs make it clear why it would be well worth the wait. The new-look City Ground really is a thing of beauty. And if you are wondering why Forest are buying the former Hart’s restaurant in central Nottingham, it is not just to recreate a “high quality” dining experience but also to turn three floors into club offices.

Why do Forest need more office space? Because their plans involve building a 19-storey apartment block on what is currently the club’s shop and main offices, opposite the stadium. The apartments will go up after the Peter Taylor Stand and the layout of a pedestrianised plaza means Forest have had to sacrifice plans to create what would have been known as the Miracle Gates, commemorating their European Cup-winning teams from 1979 and 1980.

The emphasis, it seems, is to look to the future rather than the past. And nor is this master plan dependent on Nuno Espirito Santo’s team remaining in the Premier League. Forest are currently 16th but, alongside 18th-placed Everton , facing the possibility of a points deduction for breaching P&S rules.

Forest intend to press ahead even if they drop back into the Championship. They were getting bigger crowds in their promotion season than in some games under Clough when they were back-to-back European Cup winners. Plus there is evidence that it is only the logistics of the City Ground that has prevented the club from breaking their attendance record — set in October 1967 with a crowd of 49,946 against Manchester United — since returning to the top division.

When Forest played in front of a sell-out crowd at home to Blackpool in the FA Cup last month, 21,500 tickets were bought by fans without season tickets. And that, to put it into context, was against a team from League One .

Cartledge is very clear: “If you add up our 20,000 season-ticket holders, plus the 21,500 or more who were waiting in a queue for tickets, the city of Nottingham should be able to sustain a 45,000 to 50,000-seat stadium. We can get ourselves to 40,000 and, if there was no obstruction, he (Marinakis) would get on it next season. He just wants to get going with it and that’s very exciting.”

Amusement, shopping, warehousing part of new plan for Piqua mall

Owners of the former Miami Valley Centre Mall in Piqua are reimagining use of the 500,000-square-foot building that once was a destination location with local and national retail stores.

Piqua Investment Partners LLC―which is a partnership between the locally-based Bruns Construction and the Minnesota-based Caspian Group―has rebranded the mall as the Piqua Center , located at 987 E. Ash St. in Piqua, after taking over ownership of it from the Kohan Group last year.

The Piqua Center will have mixed use going forwards, with approximately 86,000 square feet of space dedicated entertainment and dining and 192,000 square feet for retail and boutique space, with the remainder being space for warehousing and e-commerce.

Momentum is moving in a positive direction for the vision for the facility’s space, said leasing manager Saul Zenkevicius.

The main challenge they’ve had is overcoming the stigma that nothing would be done substantially with this facility, he said.

“We just have to overcome 10 years of stagnation and decline of this property,” Zenkevicius said.

One of the most popular additions to the facility will be its new amusement park, Hero Day , which also has a facility in Lima. The Hero Day Inflatable Theme Park plans to open in March.

Owner Brad Gossard saw an opportunity to reach kids and young adults in this area, saying his customers typically range in age from early adolescence to college-age young adults.

“We really wanted to get into this market, because we’ve got Sidney, Piqua, and Troy all right here,” Gossard said.

In addition to large inflatable playgrounds and obstacle courses, the amusement park will include a slam ball basketball court, a zip line, dodgeball and ninja courts, and a ball pit with 125,000 balls.

Above the play areas is a mezzanine for parents to watch their kids from a birds eye view, though Gossard also encourages the parents to get in on the fun.

“The adults can play. The kids can play,” Gossard said.

Hero Day will be open Thursdays through Sundays, focusing on private events during the other days of the week. They can host seven birthday parties at one time, he said.

Hero Day will be taking over the space where the mall’s old movie theater was located. In order to renovate that space, builders had to excavate the space and fill it with 100,000 tons of gravel due to the movie theater’s previously slanted seating areas.

Current physical occupancy at the mall is shy of 50%, Zenkevicius said, but they will be finishing up more than 100,000 square feet of renovation in the next two months.

“By summer, we should be close to our 80% mark,” Zenkevicius said. The mall has about 70% of its space lined up in leasing agreements.

More tenants will be moving in over the summer, including Smile Back Training Center , which offers training in boxing and kickboxing, grappling and self-defense. Do It Best Hardware will also be on the retail side near American Freight. The space for Las Marias, a new Mexican restaurant, is currently under construction right now next to Dunham’s, and it will include indoor and outdoor seating.

On the warehousing side, the Piqua Center has leased space with RSC Construction, Glassco, and more to fill the empty spots anchor stores like Sears and Elder Beerman left.

Create a form in Word that users can complete or print

In Word, you can create a form that others can fill out and save or print.  To do this, you will start with baseline content in a document, potentially via a form template.  Then you can add content controls for elements such as check boxes, text boxes, date pickers, and drop-down lists. Optionally, these content controls can be linked to database information.  Following are the recommended action steps in sequence.  

Show the Developer tab

In Word, be sure you have the Developer tab displayed in the ribbon.  (See how here:  Show the developer tab .)

Open a template or a blank document on which to base the form

You can start with a template or just start from scratch with a blank document.

Start with a form template

Go to File > New .

In the  Search for online templates  field, type  Forms or the kind of form you want. Then press Enter .

In the displayed results, right-click any item, then select  Create.

Add content to the form

Go to the  Developer  tab Controls section where you can choose controls to add to your document or form. Hover over any icon therein to see what control type it represents. The various control types are described below. You can set properties on a control once it has been inserted.

To delete a content control, right-click it, then select Remove content control  in the pop-up menu. 

Note:  You can print a form that was created via content controls. However, the boxes around the content controls will not print.

Insert a text control

The rich text content control enables users to format text (e.g., bold, italic) and type multiple paragraphs. To limit these capabilities, use the plain text content control .

A picture control is most often used for templates, but you can also add a picture control to a form.

Insert a building block control

Use a building block control  when you want users to choose a specific block of text. These are helpful when you need to add different boilerplate text depending on the document's specific purpose. You can create rich text content controls for each version of the boilerplate text, and then use a building block control as the container for the rich text content controls.

Insert a combo box or a drop-down list

In a combo box, users can select from a list of choices that you provide or they can type in their own information. In a drop-down list, users can only select from the list of choices.

Select the content control, and then select Properties .

To create a list of choices, select Add under Drop-Down List Properties .

Type a choice in Display Name , such as Yes , No , or Maybe .

Repeat this step until all of the choices are in the drop-down list.

Fill in any other properties that you want.

Note:  If you select the Contents cannot be edited check box, users won’t be able to click a choice.

Each content control has properties that you can set or change. For example, the Date Picker control offers options for the format you want to use to display the date.

If you want to limit how much others can edit or format a form, use the Restrict Editing command:

After selecting restrictions, select Yes, Start Enforcing Protection .

Advanced Tip:

If you want to protect only parts of the document, separate the document into sections and only protect the sections you want.

To do this, choose Select Sections in the Restrict Editing panel. For more info on sections, see Insert a section break .

Open a template or use a blank document

To create a form in Word that others can fill out, start with a template or document and add content controls. Content controls include things like check boxes, text boxes, and drop-down lists. If you’re familiar with databases, these content controls can even be linked to data.

Go to File > New from Template .

In Search, type form .

Double-click the template you want to use.

Select File > Save As , and pick a location to save the form.

In Save As , type a file name and then select Save .

Start with a blank document

Go to File > New Document .

Go to File > Save As .

Go to Developer , and then choose the controls that you want to add to the document or form. To remove a content control, select the control and press Delete. You can set Options on controls once inserted. From Options, you can add entry and exit macros to run when users interact with the controls, as well as list items for combo boxes, .

Adding content controls to your form

In the document, click or tap where you want to add a content control.

On Developer , select Text Box , Check Box , or Combo Box .

To set specific properties for the control, select Options , and set .

Repeat steps 1 through 3 for each control that you want to add.

Set options

Options let you set common settings, as well as control specific settings. Select a control and then select Options to set up or make changes.

Select Macro to Run on lets you choose a recorded or custom macro to run on Entry or Exit from the field.

Bookmark Set a unique name or bookmark for each control.

Calculate on exit This forces Word to run or refresh any calculations, such as total price when the user exits the field.

Add Help Text Give hints or instructions for each field.

OK Saves settings and exits the panel.

Cancel Forgets changes and exits the panel.

Set specific properties for a Text box

Type Select form Regular text, Number, Date, Current Date, Current Time, or Calculation.

Default text sets optional instructional text that's displayed in the text box before the user types in the field. Set Text box enabled to allow the user to enter text into the field.

Maximum length sets the length of text that a user can enter. The default is Unlimited .

Text format can set whether text automatically formats to Uppercase , Lowercase , First capital, or Title case .

Text box enabled Lets the user enter text into a field. If there is default text, user text replaces it.

Set specific properties for a Check box .

Default Value Choose between Not checked or checked as default.

Checkbox size Set a size Exactly or Auto to change size as needed.

Check box enabled Lets the user check or clear the text box.

Set specific properties for a Combo box

Drop-down item Type in strings for the list box items. Press + or Enter to add an item to the list.

Items in drop-down list Shows your current list. Select an item and use the up or down arrows to change the order, Press - to remove a selected item.

Protect the form

Go to Developer > Protect Form .

Note:  To unprotect the form and continue editing, select Protect Form again.

Save and close the form.

Test the form (optional)

If you want, you can test the form before you distribute it.

Protect the form.

Reopen the form, fill it out as the user would, and then save a copy.

Creating fillable forms isn’t available in Word for the web.

You can create the form with the desktop version of Word with the instructions in Create a fillable form .

When you save the document and reopen it in Word for the web, you’ll see the changes you made.
