In this step-by-step guide, you’ll learn how to embed a video in PowerPoint so you can create exceptional presentations that grab your audience’s attention and help them remember what you said.

How to embed a video in PowerPoint from your PC or Mac

First, of course, you’ll need a video, either one online or from your media library. The next step is to find a way to make it play during your PowerPoint presentation. You could do it manually by bringing up the video from another website or program while you’re speaking, but that process is clunky and you might end up facing technical challenges.

Luckily, there are simpler and easier methods of embedding videos in PowerPoint. You can link to your video file externally or embed it directly in your presentation. 

Use the tutorial below to insert videos in PowerPoint from a computer.

How to embed a video in PowerPoint in Windows

Step 1: select the powerpoint slide.

Launch Microsoft PowerPoint on a Windows computer and open a blank or existing PowerPoint file. 

Then, go to the slide you want to embed a video and select the Insert tab in the toolbar.

Step 2: Click Video > This Device

Select the Video option. Here, you can either embed a video from your computer or from an online source, like a website or YouTube and other supported platforms.

Click This Device from the drop-down menu to embed a video from a folder on your computer.  

PowerPoint supports MP4 files encoded with H.264 video and AAC audio. So, you can upload videos in file formats, such as M4V, MOV, ASF, AVI, MPG, MPEG, or WMV.

If you don't want to play a video full screen, resize it to your preferred dimensions.

For precise height-to-width proportions:

  • Select Format (PowerPoint 2013 or newer) or Options (PowerPoint 2010) in the Size group
  • Click the Dialog Box Launcher Icon image
  • Click Size, then select the Lock aspect ratio checkbox under Scale 
  • Enter your preferred height and width under Size and rotate or enter the percentage of size that you want in the Scale height and width boxes

Then, select Video Format to access formatting options like borders and effects or right-click the video for more options. You can also use the Designer tool to choose from professional slide templates. 

Then, click the Playback tab to trim your video, add captions, choose playback options, like In Click Sequence, Automatically, or When Clicked On.

Note: In PowerPoint for Microsoft Office 365 or PowerPoint 2016 version 1709 or later, you can use the In Click Sequence option. This way, your video can play in sequence with other actions you’ve programmed on the slide, like animations or transitions. 

To insert a web video, select Video > Online Videos . 

Note: PowerPoint supports YouTube, SlideShare, Vimeo, Stream, and Flip video providers.

Step 3: Click Insert

If you choose to embed an online video, copy the link to the video you want to embed and paste it in the blank field. A preview of your video will appear in the Insert video pop-up.

Click the Insert button to embed the video in your presentation. 

PowerPoint will download and insert the video on the selected slide. You can drag the edges of the video thumbnail to resize it, then use Video Format options, like shape, border, and effects to enhance the video. 

Select the Playback tab to insert captions or choose how your video plays (automatically or when clicked). 

Note: You can’t change when an online video starts. But if you’re embedding a YouTube video, you can copy the video URL at the current time to link from a specific start time. 

Click the Slide Show tab to preview the video with all the formatting changes you made. Then, save your presentation to your computer or click the Share button to move or copy it to the cloud.

How to embed a video in PowerPoint on a Mac

To embed a video in PowerPoint for Mac, you’ll need to save the video file in the same folder as your presentation.

Launch PowerPoint and open a blank or existing presentation, then select the slide you’d like to add a video to. 

Select Insert .

Step 2: Click Video > From File

Click Video to access video embed options from the drop-down menu:

  • Video browser
  • Video from file
  • Stock videos
  • Online film

Select Video from file to insert a video file from your Mac.

In the Choose a Video dialog box, select the video file you want to insert, then click the Insert button to embed the video on the slide.

If you want to put a link to the video on the slide, click Show Options in the lower left corner of the dialog box. 

Then, select the Link to file box, and click Insert .

Select the Video Format tab to add effects and choose whether your video will play automatically or when clicked.

Tip: If you’re using the 2016 version of PowerPoint (or newer), you can play back videos with multiple audio tracks. These versions also support closed captions and subtitles embedded in video files.

Select the Playback tab to do the following:

  • Trim your video
  • Add fade in and fade out effects
  • Play the video on full screen or hide during the show
  • Insert captions
  • Select start time options (in click sequence, automatically, or when clicked)
  • Loop the video to play repeatedly and continuously during the presentation
  • Rewind your video

How to embed a video in PowerPoint from YouTube

Embedding a YouTube video to a PowerPoint presentation is simple. You can use the video URL or integrated search function to embed a video you uploaded to YouTube or someone else’s video (with permission).

To add a video to your PowerPoint presentation, you’ll copy the video embed code and paste it into the slide you want. The code will load the video at the source and play it on the platform you’re using. 

You won’t need to download and upload the video from YouTube and the video will load and play faster regardless of the file size. Plus, you can share video content that’s covered under copyright, so you’re not in danger of crossing any legal lines. 

Follow these steps to embed a video in PowerPoint from YouTube on a Windows PC or Mac. 

How to embed a video in PowerPoint from YouTube in Windows

Step 1: click “insert video”.

Open a PowerPoint presentation and select the slide you want to embed your video.

Click Insert > Video .

Step 2: Choose “Online video”

Select the Online Videos option.

Step 3: Insert the URL from YouTube

Right-click the video to copy the video link or embed code, or click Share to get the embed code. Then, paste the URL or embed code in the link field. 

A preview of your video will appear in the Insert video dialog box.

Click Insert to embed the video in your presentation. 

Resize the video thumbnail, then use the video formatting options to enhance it. 

Click Playback play the video automatically or when clicked or add captions. Then, preview the video with all the edits you made and save or share your presentation.

Note: YouTube’s video file formats are similar to those PowerPoint supports, so your video will likely play without issues. However, YouTube supports some formats that PowerPoint doesn’t, including FLV, 3GPP, WebM, DNxHR, ProRes, HEVC (h265), and CineForm. If your video isn’t playing, check to make sure it’s a supported file format.

How to embed a video in PowerPoint from YouTube on a Mac

Step 2: choose “online film”.

Select Online Film . 

A URL pop-up will appear prompting you to enter the link to the YouTube video.

Go to YouTube and copy the link or embed code of the video you want to embed in your presentation. You can right-click the video and select copy video URL or copy embed code, or click Share and copy the video link or embed code.

Paste the video link or embed code in the URL pop-up in your PowerPoint presentation, then click Insert .

Resize your video and polish your slides before saving the presentation to your computer.

How to insert a video file link in PowerPoint

Embedding a video in PowerPoint may be convenient, but it increases the size of your presentation. 

To reduce your presentation file size, insert a video file link to create a linked video. The downside with linked videos is that links can break, but you can prevent this by copying and storing your presentation and linked videos in the same folder, then linking to the video there.

Ensure you have a stable internet connection, then use the steps below to insert a video file link in PowerPoint on a PC or Mac.

Step 1: take a screenshot of the video.

Find the video you want to link to in PowerPoint and take a screenshot of the clip. 

To take a screenshot in Windows, you can either use the Snipping tool, press the PrtScn (print screen) key and Windows Logo key on your keyboard. 

If you’re using a Mac computer, you can take a screenshot by pressing and holding SHIFT + COMMAND + 3 keys together (for full screenshot) or SHIFT + COMMAND + 4 keys to screenshot a specific area. 

Step 2: Insert the screenshot in your presentation

Alternatively, navigate to the slide you want to add your screenshot to, select Insert > Pictures > Picture from File . Then, find the screenshot you took, select Insert to add it to the slide, then crop, resize, and position it to your liking.

Step 3: Hyperlink the image to your video

Right-click the image and select Link . 

If your video is in Descript, copy the video link from your dashboard.

 Insert the video link in the address field then click OK .

The hyperlink will be connected to the image itself, not other elements on the slide or the entire slide.

Click Slide Show to test your video and ensure it links to the right video. When you click on the image, it will open in a web browser, ready for you to play.

Why can’t I embed a video in PowerPoint?

Embedding videos to a PowerPoint presentation is a straightforward process, but sometimes the video may fail to play. Let’s review some reasons for playback failure and how to resolve them.

Video playback issues

Video playback may fail in PowerPoint if:

  • The storage folder is corrupt
  • The video’s audio is out of sync
  • The video file is corrupt, damaged, in an unsupported file format, or missing certain files

How to fix: Convert your video into a supported file format, check PowerPoint playback settings, or make the video visible by unchecking the Hide while not playing option in the playback tab. You can also save your presentation using the PPT or PPTX extension, so it’s easier to open the file in older or modern Office versions. 

File size and compatibility

Your video might not play if the file is too big. To resolve this issue, compress the media file by going to File > Info > Compress Media. Then, select one of these options: 

  • Presentation quality/full HD: Adjusts the video size while maintaining its quality.
  • Internet quality/HD: Saves on space and video quality.
  • Low quality/Standard: Saves more space but doesn’t keep overall video and audio quality. This option is ideal if you want to share the presentation with others and ensure your videos will still play.  

If your video file is incompatible with PowerPoint, it may be in an unsupported file format or missing a codec.

Broken links

You can also embed YouTube videos, use looping stock videos, or, on older versions of PowerPoint, link to the videos.   • Copy a YouTube URL. In PowerPoint, click "Insert' → "Video" → "Online Videos/Movie". Paste the URL and click "Insert".

Online videos require a good – STRONG – internet connection to play properly.

That means that if you embed a YouTube video in your PowerPoint and the conference room you are presenting in has a weak internet connection, you are in trouble.

So I highly recommend spot checking the internet quality of the room you will be presenting in before working with any online video in your presentation.

If your internet connection is weak, be prepared to skip the video in your presentation.

To embed a video in PowerPoint from your computer, simply:

  • Navigate to the  Insert  tab
  • Open the  Video  drop down (within the Media group)
  • Choose  Video on my PC
  • Navigate to where the video resides on your PC
  • Select the  Video
  • Click  Insert

Clicking  Insert , the video is added to your PowerPoint slide as an editable PowerPoint object, as you can see below.

With the video now inserted on your slide, you can use the features found in the  Video Playback  and  Formatting  tabs. These tabs will be discussed below.

How to trim an embedded video in PowerPoint

  • Select  your video
  • Navigate to the  Playback  tab
  • Select the  Trim Video  command
  • Adjust the  Green Start Time ​ cursor
  • Adjust the  Red End Time  cursor

How to add a Video thumbnail

Adding a video thumbnail (or what PowerPoint calls a  Poster Frame ) is super easy.

But this is only applicable to videos you add to your presentation from your computer. That’s because online videos will automatically populate with whatever thumbnail their creator gave it (you cannot edit it or change it in PowerPoint).

There are two types of thumbnails you can add to your videos in PowerPoint:

  • Use a frame from your video as the thumbnail (easiest)
  • Import your own custom thumbnail image (most flexible)

Neither is better or worse (your video will still play the same either way), it’s just a personal preference.

What is a video thumbnail and why is it important?

A video thumbnail is simply an image that is displayed before you play your video. You will see these on YouTube videos all the time before you click to play them.

In PowerPoint, the thumbnail image can become an important part of your overall slide design theme.

If you don’t add your own thumbnail, the first frame of your video will automatically be used as the video’s  Poster Frame .

Adding a  Poster Frame  is an optional step, but can go a long way to improving the overall design of your PowerPoint slides.

Here are the different ways to add a thumbnail or Poster Frame to your embedded video:

1. Using a video frame as the thumbnail (or Poster Frame)

  • Select  Current Frame

How to embed a PowerPoint presentation into a website or blog

In this guide, I'll show you how to make your presentation more interactive and engaging for your audience on the web. I'll explain how to upload your presentation slideshow directly to your blog, so your readers can enjoy all the functions of a PowerPoint presentation directly on your website or blog page.

To help you understand better, I'll show you an example of a presentation that has already been uploaded to this blog. With the help of PowerPoint for the Web, you can make your presentations more accessible and engaging for your audience. So, let me guide you through the process of seamlessly integrating your PowerPoint presentation into your website or blog.

This presentation is part of our Law PowerPoint Template .  You can use this template or any other template from the PresenterMedia  PowerPoint Templates library.

The only version of PowerPoint that allows users to create embed code is PowerPoint for the Web .

Historically, consumers were able to save a presentation as a video and embed it onto a website. But it wasn't the same as allowing readers to click through the slides, and download if needed. Microsoft heard from their clients and added the ability to embed the web application into the latest iteration of PowerPoint (for Web). With that said, let's check out this feature from Microsoft!

Let's get started Embedding!

Now that you've seen what a PowerPoint looks like once embedded, let's get into the process of completing the task at hand.

Begin by opening the PowerPoint 365 Web Application (link here !)   Note* You may need to sign into your Microsoft Office account before you start.

After the site is open, select the presentation you'd like to embed into your website if already uploaded (or start from scratch).

If you haven't uploaded your presentation to PowerPoint for the web, choose the upload option.

Okay, once you've upload or selected your PowerPoint file it will load into the PowerPoint web application.

Next, click "File" from the upper left corner of PowerPoint and select "Share" from the options on the left side.

Then, select "Embed" from the two option on the right.

The default embed code in my PowerPoint is 476 x 288.  As a rule, 610 x 367 will fit on most websites comfortably, but if you want your viewer to have a full-screen experience, then 1186 x 691 dimensions would be preferable.  However, this option is customizable, so you can choose any size you desire.

Copy the Embed Code and paste it into the body of your website or blog.

Last, but not least, be sure to save the code in your site or blog, and voila! You've successfully embedded a PowerPoint presentation into your website.

How to embed a PowerPoint in another PowerPoint presentation

If you have to deal with presentations a lot, you might have already come across a situation where you needed to embed one PowerPoint in another. There are a couple of ways you can ins ert slides from another PowerPoint: either using PowerPoint itself or with iSpring Converter Pro .

1. Embedding with iSpring Converter Pro

If your ultimate goal is to share your work over the internet, the best way to ins ert one presentation in to another while still preserving all functionality and scalability is to convert both presentations to combined Flash/HTML5 format with iSpring. The advantages of this approach are:

  • Most importantly, the embedded iSpring presentation will only occupy the selected area on a slide, instead of covering up the entire space. (Although that is possible as well, if it’s what you prefer.)
  • The embedded presentation will blend into the project and will start automatically, whenever you want it to. Besides, having a PowerPoint presentation in Flash/HTML5 format can be useful in many other ways: It can be easily distributed over the web, embedded onto your web site or blog, or even uploaded as an E-learning course to any Learning Management System (LMS). iSpring converts PPTs into Flash/HTML5 with the highest accuracy, keeping all the animations, hyperlinks, slide transitions, and vector images intact.

Embedding a PowerPoint file with iSpring will take you just 2 simple steps. They are:

Publish your presentation

Ins ert your presentation as a web object.

Convert the presentation you want to embed in to another presentation to an HTML5 format with iSpring. Here are the steps with some tips:

  • 1 Download and install the trial version of iSpring Converter Pro.
  • 2 Click Publish on the iSpring toolbar.
  • 3 Copy the path (Ctrl+C) in the Local folder field on the General tab of the Web Publishing window.
  • 4 Use the Mobile (HTML5) option so it will work on all platforms including mobile devices.
  • 5 Sel ect your desired player fr om the Player dropdown menu. (If you’d like to ins ert the clean PowerPoint presentation without a navigation bar, sel ect the None player.)

Once your “mini-presentation” is published, go back to your larger presentation and navigate to the desired slide.

  • 1 Click Web Object on the iSpring toolbar.

  • 3 Click Browse… then paste (Ctrl+V) the local path that you copied before and press Enter on your keyboard to go to this folder.

  • 6 Mark the checkbox Include all files and subfolders .

To preview the embedded presentation as it will appear on your slide, click Preview on the iSpring toolbar and choose Preview Selected Slides .

2. Use PowerPoint to embed a presentation in another presentation

  • 1 In an opened PowerPoint presentation, sele ct a slide in which you want to embed another presentation (it’s easier to find the right position in the View -> Slide Sorter mode and double-click the desired slide).

  • 3 Now browse for the presentation file you would like to embed. Once you sele ct a file, click OK twice to close both windows. You will see that the presentation you’ve selected appears as a thumbnail on your slide.

What are the drawbacks of using PowerPoint?

  • The embedded presentation opens up in full-screen mode and covers up the slide it’s on and the entire screen.
  • You have to click on the presentation thumbnail in order to start playing it within the other one.

How to Embed a PowerPoint Presentation on a Website

Embedding a PowerPoint presentation on your website allows visitors to view the slides directly without needing to download the file. This enhances the user experience and allows you to showcase presentations in an interactive format.

Follow these simple steps to embed a PowerPoint file on your website:

Step 1: Upload the Presentation to OneDrive

The first step is to upload your PowerPoint file to OneDrive. OneDrive allows you to easily generate embed code for the presentation.

  • Go to OneDrive.com and log into your Microsoft account
  • Click Upload > Files
  • Select your PowerPoint file and click Open
  • Wait for the file to finish uploading

Step 2: Open the File in PowerPoint Online

Once uploaded, open the PowerPoint file in PowerPoint Online:

  • Click on the file to open it
  • If prompted, click Open in PowerPoint to launch PowerPoint Online
  • The presentation will open for editing directly in your web browser

PowerPoint Online allows you to generate embed code for the web.

Step 3: Generate Embed Code

To create embed code:

  • Click File > Share
  • Click Embed
  • Click Generate underneath the preview
  • Copy the entire embed code

You can customize the appearance by adjusting the height, width, and slide layout before copying the code.

Step 4: Paste the Embed Code

The final step is pasting the embed code into your website page:

  • Go to the page where you want to embed the presentation
  • Switch to the text editor mode
  • Paste the embed code into the HTML
  • Update and publish the page

The presentation will now be live and fully interactive on that page.

Customizing the Embedded Presentation

There are a few customizations you can make to control the functionality:

  • Adjust slide dimensions
  • Auto-advance slides
  • Loop back to the beginning
  • Show slide numbers and speaker notes
  • Add navigation buttons

Using the File and Media Web Part

The file and media web part in SharePoint is an efficient tool for embedding PowerPoint presentations directly into your SharePoint site.

This feature allows users to view the presentation without needing to download it or open it in a separate application.

Note : This web part was formerly the file viewer web part (not the page viewer web part).

Here’s how to use the file and media web part to embed a PowerPoint presentation:

Before embedding, upload the PowerPoint slide file to a document library in your SharePoint site.

Ensure that the file is optimized for web viewing, with a reduced file size and compatible media formats.

Go to the SharePoint page where you want to embed the PowerPoint presentation and edit that web page:

  • Click on the “ Edit ” button to start editing the page.
  • Select the “ + ” icon to add a new web part and choose “ File and media ” from the list of available web parts.

If you can’t see it, you can also search for it.

If the file isn’t a recent document, you can browse through your site.

Otherwise, select the file you wish to embed:

You can actually upload from here (but it’s helpful if you upload first to your library of choice).

By the way, if you want to change the start slide, you can click on the pencil icon of the web part to edit the properties.

Once you are satisfied with the preview, click “ Publish ” to make the changes live.

Your PowerPoint presentation is now embedded and viewable by anyone who has access to the SharePoint page.

Using the Embed Web Part

The embed web part in SharePoint Online provides a flexible way to embed PowerPoint presentations.

It’s especially useful when you want to include content hosted externally or require more customization in the presentation display.

This method is particularly useful for presentations that are frequently updated or sourced from different platforms.

Here’s how to use it:

Ensure your PowerPoint presentation is saved in a location accessible via a URL.

This can be within SharePoint or an external site like OneDrive or a public server.

You can also upload it to a document library:

Confirm that the link to the PowerPoint file is sharable and accessible to your intended audience.

Go to the SharePoint page where you wish to embed the presentation:

  • Get to edit mode on that page
  • Click on the “ + ” icon to add a new web part
  • Choose “ Embed ” from the list of available web parts

The web part will automatically process and display a preview of the embedded presentation.

Some considerations here:

  • Ensure the link used in the embed web part is always active and accessible to the target audience .
  • Be cautious when embedding content from external sources to avoid security risks and make sure you have access rights.

If the embed didn’t work, check the link. If it doesn’t accept website address links, try creating an embed code (iFrame) for it.

After making sure the presentation is displayed as desired, publish the page to make the embedded presentation visible to viewers.

Link or embed a PowerPoint slide in a Word document

When you want to create a dynamic link between the content of your document and the content in a PowerPoint presentation, insert the content as an object . Unlike when you paste content (such as by pressing Ctrl+V), when you insert it as a linked or embedded object, you can still work with the content in the original program where it was created.

If you insert the slide into the document as a PowerPoint object, Word runs PowerPoint when you double-click the slide, and you can use PowerPoint commands to work with the slide.

When you insert an entire PowerPoint presentation as an object, the document displays only one slide. To display different slides, double-click the PowerPoint object, and then press Enter to run the slide show.

Insert a linked object or embedded object

You can link or embed one or more slides, or you can embed an entire presentation. When you embed a PowerPoint presentation object in your document, Word runs the PowerPoint slide show when you double-click the presentation object in the document. You cannot edit the presentation within the document. The presentation object can be embedded only, not linked.

Open both the Word document and the PowerPoint presentation that contains the slides that you want to create a linked object or embedded object from.

Switch to PowerPoint, and then select the entire presentation or the slides that you want.

Note:  To select slides, in Slide Sorter view, click the slide that you want. To select a range of slides, hold down Shift while you click the first and the last slides of the range. To select multiple slides that are not next to each other, hold down Ctrl while you click the slides that you want.

Press Ctrl+C.

Switch to the Word document, and then click where you want the information to appear.

On the Home tab, in the Clipboard group, click the arrow under Paste , and then click Paste Special .

In the As list, select Microsoft PowerPoint Presentation object or Microsoft PowerPoint Slide object .

Select Paste to insert an embedded object, or select Paste link to insert a link to the object, and then click OK .

Alternatively, you can insert a link to the object as follows.

On the Insert tab, in the Text group, click the arrow next to Object , and then select Object .

Click the Create from File tab, and browse to the location of your presentation.

Select Link to file or Display as icon , and then click OK .

Update linked objects

By default, linked objects are updated automatically. This means that Word updates the linked information every time you open the Word file or any time the source PowerPoint file changes while the Word file is open. However, you can change the settings for individual linked objects so that the linked object is not updated or so that it is updated only when the reader of your document chooses to manually update it.

You can also prevent Word from automatically updating links in all the documents that you open. You can do this as a security measure, to prevent updating documents with files that are potentially from an untrusted source.

Important:  When you open a document that contains linked objects, Word prompts you to update the document with data from the linked files. If you suspect that the linked files may be from an untrusted source, click No in this message.

In addition, you can permanently break the connection between a linked object and its source PowerPoint file. When the connection is broken, you can no longer edit the object in the document; it becomes a picture of the PowerPoint content.

Manually update a linked object

Right-click the linked object, click Linked Slide Object or Linked Presentation Object , and then click Links .

Click the link that you want to update manually, and then under Update method for selected link , click Manual update .

Prevent a linked object from being updated

Click the link that you want to prevent from being updated, and then under Update method for selected link , select the Locked check box.

Note:  To unlock the link, clear the Locked check box.

Prevent Word from automatically updating links in all documents

On the File tab, click Options ..

Click Advanced , and then scroll down to General .

Clear the Update automatic links at open check box.

Break the connection between a linked object and its source

Click the link that you want to disconnect, and then click Break Link .

Change linked or embedded objects

Right-click the linked object, and then click Linked Slide Object or Linked Presentation Object .

Click Open or Open Link , depending on whether the object is embedded or linked, and then make the changes that you want.

If the object is embedded, the changes are only in the copy that is in the document. If the object is linked, the changes are made to the source file.

In the As list, select Microsoft Office PowerPoint object .

Click Paste to insert an embedded object, or click Paste link to insert a link to the object.

Click the link that you want to update manually, and then under Update method for selected link , click Manual update . Or press CTRL+SHIFT+F7.

Click the link that you want to prevent from being updated, and then under Update method for selected link , select the Locked check box. Or press F11.

Note:  To unlock the link, click the linked object, and then press Ctrl+Shift+F11.

Click the link that you want to disconnect, and then click Break Link . Or press CTRL+SHIFT+F9.

Right-click the object, and then click Linked Presentation Object or Slide Object .

The differences between linked objects and embedded objects

The main differences between linked objects and embedded objects are where the data is stored and how you update the data after you place it in the destination file.

You place either a link to the object or a copy of the object in the document. You can insert content this way from any program that supports the technology of linking and embedding objects (object linking and embedding, or OLE).

For example, a monthly status report may contain information that is separately maintained in a PowerPoint slide. If you link the report to the slide, the data in the report can be updated whenever the source file is updated. If you embed the slide in the report, your report contains a static copy of the data.

When an object is linked, information can be updated if the source file is modified. Linked data is stored in the source file. The Word file, or destination file, stores only the location of the source file, and it displays a representation of the linked data. Use linked objects if file size is a consideration.

Linking is also useful when you want to include information that is maintained independently, such as data collected by a different department, and when you need to keep that information up-to-date in a Word document.

When you embed a PowerPoint object, information in the Word file doesn't change if you modify the source PowerPoint file. Embedded objects become part of the Word file and, after they are inserted, they are no longer part of the source file.

Because the information is totally contained in one Word document, embedding is useful when you don't want the information to reflect changes in the source file, or when you don't want the document recipients to be concerned with updating the linked information.

When Jason Carman and Harpriya Bagri met, they had different takes on the film  Tenet .

Directed by Christopher Nolan,  Tenet  is considered one of the most confusing major movies. Harpriya was not a fan of its mind-boggling time-travel plot. Jason, though?

He proposed a date. They would get pizza, and he would explain the film. Harpriya agreed. But when she showed up, she did not expect to see Jason holding 29 printed slides from a presentation called " Tenet for Dummies." She also didn't know that Jason was filming.

The video of the date was later posted to X and watched 3.7 million times. Some might see the premise as a recipe for disaster. Others, a recipe for love. So which one was it?

Amory Sivertson: Benjamin Brockis Johnsonite, back at you.

Ben: And with that in mind, what is the strangest date you've ever been on?

Amory: Probably like, I'm gonna say some dude thinking that we were on a date talking to me about something that he thought that I was interested in, and I wasn't, and we weren't. What about you?

Ben: I took out a girl named Amanda. We went to the movies, and we watched The Sixth Sense .

Amory: Classic love story.

Ben: Classic love story, and we also broke into a Speedbowl.

Amory: Is that like a go-kart?

Ben: No, it's like, you know, low-level race car — it's not the Indy 500. I don't know anything about cars.

Amory: The AAA of race car driving.

Ben: Something like that. Yeah, and she climbed over the fence with me. We definitely trespassed, and it was, like, one of those things where, like, I wanted it to be on, but I didn't know it was on, but it was definitely on. Looking back on it, it was on. But I just dropped her off and was like, "Have a good night. I hope maybe someday you'll consider dating me. OK. Goodbye."

Amory: And you lived happily ever after.

Ben: Yeah, I think she did. She certainly did.

Amory: You did, too. Your wife is one of my favorite things about you.

Ben: Yeah. But my wife didn't live "happily ever after" after. That's the problem for her.

I don't know if either of our dates would've ever gone viral, at least not as viral as the date we're talking about today.

Jason Carman: This whole, like, little Twitter virality stint was basically me capitulating to Twitter every step of the way.  

Ben: I — that, that actually worries me deeply. 

Jason: Me, too.

Amory: Jason Carman lives in San Francisco. He makes documentaries about tech startups. He also launches rockets into space. Big X — Twitter — user.

Ben: And he's single.

Ben: So, what — how's dating? How's it going? 

Jason: (Laughs.) Dating... (Laughs.)

Ben: Jason is in his early 20s, what he describes as a transitional period in the dating scene. He says standing out from the endless feed of men online is more important than ever.

Jason: Everyone's beginning to, like, realize, Oh, dating is no longer just like a fun after high school, in-college thing. So, thinking about it differently has kind of been a trip.

Ben: We better get serious; put together some PowerPoints now.

Jason: That's what I thought.

Amory: Oh yes, and his creative approach to dating has recently earned him a bit of a reputation, one he's not so sure about.

Jason: I don't know if I want to be totally known as the PowerPoint dating guy.

Ben: Too late, my friend! Jason Carman is the PowerPoint dating guy. Why?

Amory: Because about a month ago, Jason decided to go on a first date, and, instead of the usual thing — "Where'd you grow up?" "How many siblings do you have?" — he opted to give a lengthy PowerPoint presentation, a slide show.

Ben: And he filmed it for all the world to see!

Amory: Some might call it an odd approach to wooing. Others?

Jason: I guess it's the modern version of going and, I don't know, fighting a knight, fighting for one's honor. The modern version of that is making a PowerPoint.

Ben: Killing a woolly mammoth and bringing it back or something.

Jason: Yeah.

Amory: I'm sure those knights would really appreciate this comparison .

Amory: Today, Endless Thread listeners, we bring you the story of one date, two people, and 29 slides that caught the attention of millions online.

Ben: This is "Dinner and a (Slide) Show."

Harpriya Bagri: I had seen some of his stuff on Twitter before, so I kind of knew of him just through the Twitterscape.

Amory: Harpriya Bagri is a software engineer, also in the Bay Area. She works with artificial intelligence. And if you're wondering, we interviewed Harpriya and Jason separately.

Amory: Harpriya, how would you describe your dating life? 

Harpriya: You know, not great.

Amory: Can AI help with that? 

Harpriya: You know, funny that you mentioned that. I also made an AI agent to background-check my Hinge dates for me.

Ben: How's that working out for you? Harpriya and Jason didn't meet on Hinge. Their meet-cute was a tad more old fashioned.

Harpriya: There was this party. Jason was there. That's how we met. I was telling him about how I really enjoyed his videos and stuff, and he had read my blog.

Jason: She's great. She's very smart, and we're both nerds in the best sense of that. I mean, we met at a tech-optimism dinner party at my house.

Amory: A tech-optimism dinner party. Yes, you heard that correctly. They talked about things like AI, podcast audio quality, and they were hitting it off. Then they got to a somewhat contentious subject, one that would go on to have a rather big effect on their soon-to-be romantic lives.

Harpriya: If I recall correctly, it was him that had brought it up.

Jason: This movie comes up with me a lot in conversation. And I just think it's great. I don't know how. I don't intentionally bring it up. That would be really concerning for my future dating, but —

Harpriya: I had just seen it like a few weeks before that, just very recently. And I was just telling him how it was cool and all, but it wasn't like other Christopher Nolan movies. Maybe some of it went over my head. I didn't really enjoy it as much as I hoped to.

[ Fay : All I have for you is a gesture in combination with a word: Tenet.

Protagonist: That's all they've told you?]

Jason: Tenet is the most underrated Christopher Nolan movie, and hated in many ways. 

Ben: For the uninitiated, Tenet is a nearly 3-hour action movie written and directed by Christopher Nolan, the guy who brought us mind-bending films like Inception , Memento , Interstellar , Oppenheimer .

Amory: And, Ben, as you know, I am the uninitiated. I have never seen Tenet .

Ben: On this timeline.

Amory: (Laughs.) How would you describe the plot of Tenet ?

Ben: Uh, there's, um, some good guys and some bad guys, but there's one good guy. And he's trying to travel through time to stop the end of the world. And there's a machine. There's, like, a machine they have to go through to, like, to go through time. And there's a lot of discussion about entropy, which I don't really understand. And yeah, that's what I got. How'd it go? How'd that go for you?

Amory: (Laughs.)

[ Protagonist : I need some idea of the threat we face.  

Barbara: As I understand it, we're trying to prevent World War III.  

Protagonist: Nuclear holocaust.

Barbara: No. Something worse.]

Amory: Apparently, this movie is not for everyone.

Harpriya: It was very slow for probably a good chunk of it — probably a majority of it. I think I didn't see how certain things added up. 

Ben: But it is the movie for Jason.

Jason: I think it's like the most unique take on time travel that I've ever seen in a movie, and I think that's what makes it so cool.

Ben: They have a lot in common, clearly.

Amory: A lot in common. They're both at the tech-optimism party talking about Tenet . Harpriya's like, Mmm, yeah, too confusing, too long. I don't get what all the fuss is about. Normally, this might elicit a head nod and a new topic.

Ben: But Jason had been in this situation before!

Harpriya: He ended up telling me that he had an ex-girlfriend who he explained the movie Tenet to, and he made this whole, like — he did a presentation on it or something. And I was like, Oh, interesting. I didn't think I would be at the end of another presentation in the near future, but I thought it was funny in the meantime.

Ben: Fast forward a couple weeks, and Jason is on X or Twitter or whatever, and he jumps into thread with some randos about, obviously, Tenet . One tweet has a video of a Peloton instructor ranting about the movie mid-workout.

[Peloton instructor (via @JacobOller ): Did anybody see this besides me? Because I need a manual. Someone's got to explain this.]

Ben: And so he ends up tweeting someone else, to say.

Jason: I have these slides I made for a date three years ago. And people didn't believe me. I went to bed, woke up, the tweet was mini-viral. Posted the slides. That went very viral. And then some guy replied, "You should record yourself on a date doing the slides," which I proceeded to do.

Amory: Jason is, among other things, a self-described content creator. And he knew Harpriya had recently started to make her own content. So, Jason got an idea.

Harpriya: He had just, like, texted me, being like, Oh, do you remember when I was telling you about Tenet , blah, blah blah? And he was like, How about I give you the presentation? Do you wanna go on a date? And I was like, OK, that's fine. 

Jason: She didn't know at the time that it was gonna be recorded. But I'd met her a few times. She seemed cool. I knew she was thinking about getting into content.

Harpriya: He was very explicit to not go on Twitter beforehand.

Jason: I was just like, I know she would be interested in doing something like this once she knew what it really was. And this is another thing I like about Tenet's approach, is much of it is covert.

Harpriya: I literally thought we were just gonna talk about the movie. But, no, it was a lot more than that.

Amory: A lot more than that. Here we go!

Ben: How the date went down, in a minute.

[ Jason : People didn't think I was serious about making a slideshow about the movie Tenet . But I did. I have it here.]

Amory: So what happens when a guy goes on a date with a PowerPoint presentation and secretly records the whole thing?

Ben: He might get beat up. He also might get 3.7 million views , obviously. But let's not get ahead of ourselves.

[Jason: And so I asked a friend of mine who I met a few weeks ago, a girl named Harpriya. I texted her last night, Do you want to come to a date, and I'll give you my Tenet presentation? So that's what's going to happen since everyone has asked to, well, see the presentation. So, here we go.]

Amory: OK, so she was warned. A presentation is on the dinner table, is on the menu.

Ben: He asked for consent before he gave her his Tenet presentation.

Amory: So, about an hour before the date, Jason sets up at an Italian restaurant, Norcina, in San Francisco's Marina District. He got seats in front of a floor-length window.

Ben: Meanwhile, two friends with cameras and audio equipment hide behind an outdoor dining booth across the street. Secrecy is critical.

Jason: There was an area mic I hid under a flower vase right there. The restaurant was in on it.

Ben: Oh my goddddd!

Jason: So, the cameras were set up, and we were worried about the glare of the lighting. It was all stressful. We were having some issues with audio. Then, eventually, we got everything straight.

Amory: As for Harpriya?

Harpriya: I had researched the restaurant beforehand. I was really excited to eat food and, you know, get to know him better.

[Jason: Hey, how's it going? 

Harpriya: Hi.

Jason: Nice to see you.

Harpriya: Good to see you.

Jason: Thanks for coming.]

Ben: The date starts like a lot of first dates: kinda awkward. There's some nervous, small talk — about spritzes.

[Jason: I'm normally not like a spritz-flight guy, but it's really good here. And a friend, maybe you got a one, so I don't know what to do. Like spritzes at all before.  

Harpriya: What is a spritz?]

Ben: Great question.

Amory: Harpriya, I'm with you, girl.

Ben: But also, I'm in. I wish someone would take me out for a spritz flight.

Amory: Let's do that after this. Let's get a spritz.

Ben: A spritz flight.

Amory: So there's also this kind of vibe, like they both know something is odd. Then, Harpriya notices that Jason is holding something — a folder.

Jason: And I don't think she knew what was in it. She was looking at it a little bit, and then I held it up.

Harpriya: And he pulls out like 29 pages or something of these printed slides. And yeah, I was laughing, a little confused. And I was like, Is this serious? Is this partly a joke? But then, he was committed. 

Amory: There's like a weird joke in here, like, "And then he pulled out his slides!" It's like, "Oh gosh, no."

[Harpriya: Oh, you're serious. 

Jason: Yeah. Yeah. I mean —

Harpriya: You printed it out? I knew you said you had a presentation. I did not think —  

Jason: Yeah. I thought it'd be, like, weird if it was like, I don't know — I just printed the slides. It's only, like, 29 slides.]

Jason: She looks over her shoulder, almost like, I'm not sure for what. Was she looking for help? Was she looking to leave? Was she looking like — what was it?

Harpriya: Yeah, I was like, You know, let's just go with it. Let's just dive right in.

Ben: The slide show is titled, " Tenet for Dummies ." And it starts with text explaining, quote, "If you're reading this, you probably didn't understand the film Tenet ... It's OK!... you're just not as film smart as you thought."

Harpriya: "You're not the film expert you think you are," or something like that. He had all these, like, jokes in the beginning. And I was like, What are you trying to do?

Amory: Oh, boy.

Harpriya: I was like, This could be going very downhill if you're starting off with that slide.

Amory: Oh, I would agree, yes.

[Jason: I made these like three years ago. This is sassier than, uh, it's — you know, this is not about you. It's about the theoretical person who doesn't understand Tenet , which is I think most of the population.

Harpriya: OK. OK. You know what? Let's keep going. Yeah.]

Jason: I was just so nervous. I was trying my best to be myself, but not be too loud, be loud enough for the audio. Also just, like, the slides suck. The slides are not meant for this.

Amory: This video, we should say, is 17 minutes long, so it's edited.

Ben: Can't believe she stayed that long. Shocking.

Amory: Well, the date was longer. This is the edited version, and I have to admit, when I watched this for the first time, I kind of thought the whole thing was a setup. I thought Harpriya had to have been in on it.

Amory: You could say that there's romantic chemistry and you want to see where this goes. There's another part of me that's like, Hmm, this is something that we could make content around together, and it could do really well. You know what I mean?

Jason: Well, if anything, the first.

Amory: Whatever he told you, what he pulled out was not what you were expecting?

Harpriya: No, no, no, no. I literally thought we were gonna talk about it.

Ben: Regardless, the date doesn't seem like it's starting well for Jason, the guy who said "you're not as film-smart as you think you are." Until...

Jason: The first time it happened where she actually got interested was the palindrome. 

Harpriya: He showed this very ancient artifact where it said, it said "tenet," and I think that pulled me in.

Amory: This slide shows a matrix carved into stone. It was discovered in the ruins of Pompeii and later found elsewhere. It kind of looks like a secret code.

Ben: There are five words in the matrix. And they all can be read backwards and forwards. The word in the center is "tenet."

[Jason: No one knows what it is. 

Harpriya: Where is it? 

Jason: It's everywhere. They have it on doors. They have it on buildings.]

Harpriya: Wait, I didn't know this. Like, that was really cool.

Ben: This is where having seen the film actually helps, Amory, because the whole movie is about time inversion ...

[Barbara: It's inverted. Its entropy runs backwards. So to our eyes, its movement is reversed.]

Ben: ...which is different than the time travel we usually imagine, where we get in a machine, press some buttons, and go ride a dinosaur.

[Barbara: Don't try to understand it. Feel it.]

Jason: And then the next slide, I think she remembered that it was a PowerPoint slide on a movie on a date and went back to being like, Um, what?

[Harpriya: How many slides in are we?

Jason: Probably like halfway there.

Harpriya: Halfway there.

Jason: Part two, part six, but...]

Jason: I was like, Oh my God, these slides are just monotonous and unclear and slow. And, like, I'm getting bored, and I'm getting out of it. And so I quickly just like — I was like, OK, this happened, this happened, this happened. And then when I did that, went through four slides that I didn't think were that important very willy-nilly, she was like, Wait, what was that one?

Amory: "That one" was a pretty cool slide, actually. Kind of a timeline of the whole movie, showing at what point the characters are going forwards and backwards.

Ben: If you ever get confused watching this movie, this is the slide to look at.

Harpriya: He talked about that machine that reverses the entropy. And they don't really show this as much in the movie, which is why I think that was a big point of confusion for me, is when they go backwards in time, they're reliving every day at the same unit of time. Like, a second is a second, but backwards.

Ben: And this is the moment that things really took off.

Jason: The awkwardness was gone at that point. And it was just like, I want to see this PowerPoint thing through and then talk about time travel theory at the end. 

Harpriya: And so we got really into it. We got into all these details, and it was connecting together and it had a lot of like lightbulb moments talking about what that could mean and what our theories were on whether or not it exists.

[Jason: I guess my question is, do you think time travel is real?  

Harpriya: Well, I think the whole point is, like, time is relative.  

Jason: Yeah, subjective and relative. Lots of different — yeah. 

Harpriya: You time-travel backwards. Now, there's two of you. 

Jason: I don't see why that wouldn't happen.]

Harpriya: But yeah, I think it was really cool to be able to talk about it just because I feel like it's not a topic I normally talk about.

Amory: Ah, that first date. Romance.

Ben: True love.

Amory: True love.

Ben: Eventually this PowerPoint date kind of morphs. They get pizza. They put down the slides. They eat. All of a sudden, it's just like a normal date.

Amory: Except for the secret camera part.

Jason: Once the pizza moment happened, I started laughing like the way that you do when you say "cut" kind of thing. I started laughing and said into my mic, "OK, guys, I think we did it." And then, at that point, she totally knew what was going on.

Harpriya: And I was like, "I had a little bit of a feeling!" I did!

Amory: Whoa, that was at the end of the date?

Jason: And I was like, "Are you? I could totally delete the footage. Like, seriously, it's no problem. Like, I don't even know if it went well." And she was like, "Let's just see it. Like, let's go look at it."

Harpriya: And later on in the night, we went over to Jason's apartment, and I watched him edit this whole thing, shrink it down to 17 minutes.

Amory: Oh my god, that night?

Harpriya: Yes. That night. (Laughs.)

Ben: Interesting.

Amory: No, it'll be really cool. I'm gonna give you my presentation. Then we'll go back to my apartment, and you can watch me edit the footage of the date that I recorded that I didn't tell you that I was recording until the end. No notes. Sounds like —

Ben: Oh, lovely. Can't wait to come up to your place and have a drink.

Ben: Jason uploaded the video the next day.

Jason: And that was terrifying. Thankfully, I think it went OK and wasn't horrible, per se.

Ben: People liked it! Sixteen thousand people, to be precise. Millions watched.

Amory: But some people were not huge fans.

Amory: Yes, believe it or not, some took issue with the surreptitious filming.

Harpriya: A lot of my friends have asked me that question, like, Were you offended or, you know, whatever else? Like, some of my friends clearly would not be cool with it. But no, I thought it was funny. I genuinely thought it was funny.

Ben: Others saw the very premise as a bad idea. Like the definition of mansplaining.

Harpriya: I can see why people think that. But I think in reality it honestly didn't feel like that at all. It was definitely more of a conversation. It was funny. And then there was a lot of banter and back-and-forth. I don't think he's a mansplainer. I think he's a great guy.

Jason: I think it's a person thing. I wouldn't try this on a blind date with someone off of a dating app or just a random person — like, I knew Harpriya was someone that would appreciate something like this. 

Amory: I want to know what movie Harpriya would explain to you.

Jason: It would be funny to do it and have people vote who did better. I think she would do better, 100%. But that would be, that would be a great follow up.

Harpriya: My favorite movie in the whole world is Cars , like the Disney Pixar movie.

Amory: Yes! I've never seen it, but I love this. I love that we are miles away, seemingly, from Tenet .

Harpriya: It's not just this animation about talking cars. It's, I feel like, so deep and has a lot of philosophical meaning to it that people miss. So I would love to give a presentation about Cars . I feel like I can really talk about that movie a lot.

Ben: Oh man, all I have to say, Harpriya is "ka-chow."

[Lightning McQueen: Me. You. Dinner. Pah-ka-chow. Cha-chow. Pah!

Sally Carrera: What that? Ow. Ouh. Please. Ugh.]

Ben: In the end, they both said the date was a learning experience. Not just about Tenet . They learned some other things, too.

Jason: If you're someone who's already anxious and paranoid about what people think of what you're saying, which I certainly am as well, then your problem is definitely not worrying about saying too much. You just need to be out there and confident in what you're saying or your PowerPoint presentation.

Harpriya: Maybe, it's like, in an odd way, the bar of a fun date is higher. It could be so dynamic. It doesn't have to be like, "How many siblings do you have?" "What's your favorite color?" Especially to understand why someone likes something so much is truly a reflection of themselves that you don't get from the very basic conversations of how many siblings you have and your favorite color and all those basic questions.

Ben: The Tenet date was a few weeks ago. Has there been a second date?

Jason: Uh, no. We have been talking a lot about things, but there's not been a second date.

And to me it's just a reminder that, you know, true love is very subjective. And also, Harpriya, I really look forward to the Cars slide-deck explanation. My kids would also love that.

Microsoft finally brought the embed fonts feature to PowerPoint 2019/Office 365 for Mac. Here's how it works on Windows and Macs.

If you send someone your PowerPoint presentation , but they don't have the used fonts installed, the formatting and layout can get messed up. You can prevent this from happening by embedding the fonts in your presentation. Here's how it works on Windows and Mac.

To embed the fonts used in your PowerPoint presentation, open the respective file and select the "File" tab.

At the bottom of the left pane, select "Options."

The "PowerPoint Options" window will appear. Here, select "Save" in the left pane.

Next, find the "Preserve Fidelity When Sharing This Presentation" section at the bottom of the window and check the box next to "Embed Fonts in the File." You'll then need to decide between these two embedding options:

  • Embed Only the Characters Used in the Presentation (Best for Reducing File Size ).
  • Embed All Characters (Best for Editing by Other People).

Select embed fonts in the file option PowerPoint Windows

Select "OK" after you're finished. The fonts will now be embedded in your presentation.

Up until early 2020, Microsoft Office hadn't provided the feature for embedding fonts in PowerPoint for Mac. Now you can, as long as you're an Office 365 subscriber or are using PowerPoint 2019 v16.17 or later.

To embed fonts, open your PowerPoint presentation, click the "PowerPoint" menu option, and then select "Preferences."

In the window that appears, select "Save" in the "Output and Sharing" group.

Now the steps are similar to PowerPoint for Windows. In the "Font Embedding" group, check the box next to "Embed Fonts in the File." Decide between these two options:

That's all there is to it. The fonts will now be embedded in your presentation.
