What are the stages of the event planning process?

While no two events are alike, the basic steps for planning an event remain the same. Make sure your event planning process covers these 4 stages:

  • Planning : As the event planner, this is the heart and soul of what you do and where the bulk of your efforts will be focused. Your goal in this phase is to hammer out all the approvals, logistics, processes, and services needed to proceed with the event. Tasks may include finalizing a budget, assembling your team, developing a guest list, arranging transportation, and setting up the event registration process. 
  • Promotion : This stage is all about getting the word out so you’ll have strong attendance at your event. It includes all marketing, PR, and promotional activities. Having a shareable event marketing & promotion plan in place makes coordinating initiatives and keeping everyone in the loop a whole lot easier.

Unless you have an existing relationship with a venue, it takes time to land the right location for your event. Keep track of vendor research, RFPs, and quotes until you find a winning venue that’s both on budget and available for your event. 

The vendors you’ll work with will depend on your event type and scale. Common event vendors include caterers/food and beverage, photographers, and florists. Furniture and decor

Some venues build furniture and decor into the packages they offer. That makes things easy! But you’ll still want to track the time it takes to choose and order these items. If onsite rentals aren’t an option, set up tasks for renting or procuring items like tables and chairs, linens, and specialty lighting.  

Presenters and entertainment

Marketing and promotion

Capturing attendee information is critical for finalizing headcount, managing onsite check in, and following up with thank yous, pictures, and/or sales calls after the event. So be sure you have a solid system in place to make registration and follow-up seamless—whether you build your own process or use tools like Eventbrite or Facebook for your event. 

Event schedule

You’ve got a lot of to-dos to keep up with on the big day. Creating an event day checklist helps you keep calm and focus on the most important things. Jot down a list of day-of tasks and reminders, like clients or stakeholders you need to check in with, vendors you need to meet onsite, or items you need to pick up.   • Assigned: Determine ownership of each individual task by assigning it to a specific team member. They’ll then be responsible for seeing the task through to completion.
  • Status: Here’s where you chart the progress of the work done on each task. Enter a completion percentage or any status that you wish to assign to track progress.

2. Estimate Time for Each Task

Once you’ve mapped out your action steps and action items, you can start assigning a start date and end date to each task and estimate their durations. This information will be needed to create a timeline.

  • Start date: This section is your schedule. Each task is tagged with a time in which it must begin to keep the project on track.
  • Due date: It is here that the due date is determined, so everyone working on that task is clear about when they must have it completed.
  • Planned hours: When planning, you have figured out how much time can be allotted to each task. Here is where you put that information.

3. Identify Resource Requirements

Here you can list the resource requirements for each task. Simply estimate what resources will be needed and estimate a cost for them. There’s also a field to indicate which department is in charge of each action item.

  • Department: Which department is responsible for the task, marketing, dev team, etc.?
  • Materials required: What materials are needed for completion of that task, software, equipment, materials, site, etc.
  • Cost: What amount of funding has the budget allotted to this task?
  • Notes: Finally, this is a catchall for any information needed to capture which doesn’t fit in any of the other categories.

How to Create an Action Plan with ProjectManager

An event action plan is written in a form of document wherein it covers aspects such as safety during events in a particular organization, the location of the event, and other necessary details needed. It is commonly used by contractors, event organizers, and emergency personnel for the purpose of laying out the goals , outcome, development and safety of the event. These documents should be written in a detailed manner, so it advised to use a template to make sure that the output is clear and concise. This can be a little bit complex, but if you are able to determine what is best for the project, everything will be done smoothly.

Without having a plan, you are increasing the risk of chaos, disorganization, and the inability to meet the standard requirements and objectives of the event. You should be able to follow a certain structure to ensure success. Instead of spending your time thinking about what you have to plan next, you might want to consider following these stages that would guide you in your planning process.

It is believed that there is a need to conduct research prior to the actual planning. This is true. Without conducting a research , some plans might turn out to be a disaster or a waste. In order to do this, prepare a list of questions needed for your research. This would help you become efficient. Find out the main goal. Is it to be able to raise money? For training? Or for whatever reason that is. Make sure that your goals are clear so that you can use it when you want to measure how successful your event is afterwards.

This stage involves finding the right venue, number of guests, and the purpose for your event. Delegate some of the tasks and responsibilities to your team members so that it would be easier to work on. It would also prevent you  from being too overwhelmed with the details pertaining to the event.

Make sure to find a way that shows that your event is something worth attending. Think about a unique name, tagline or logo. This would help in making your brand more successful. As soon as you make it public, you can use your email, social media advertisements , and an invitation list for promotion.

Everyone who has a role in the event should know what is expected of them. With that, you should be able to give them schedules to guide them for a clear start and finish time. This is the stage where you have to exert more effort and hard work.

It is not necessary to use a formal evaluation sheet for this stage. However, conducting an evaluation is an essential process especially if you are new to the work specifically in planning and collecting for feedbacks in order to build a good reputation as a planner. After the event, assess if the goals of the event are met. The only way to improve is to have a willingness to grow and improve.

The 5 C’s are concept, coordination, control, culmination and closeout.

It depends on every event planner . Some would take at least 48 hours, some would even go up to a month especially if the client has a lot of demands and changes to make.

Recently, event planning is definitely booming. There have been a lot of bookings for different events and a lot of people would prefer something less hassle so they would always find time to look for an event coordinator.
