What is Event Planning?

Why is event planning important, things to consider when planning an event, create an event planning checklist, set a goal for the event, organize your team, establish your budget, set the date and book your venue, identify partners and sponsors, market your event, final preparations, ready to plan your next event.

First, let us learn what event planning is and why it is so important in today’s context.

Event planning is an intricate process that includes the entire lifecycle of an event, from conception to execution and evaluation. It involves transforming ideas and visions into reality, focusing on every minute detail to ensure a flawless and captivating experience.

In other words, event planning is the process of organizing and coordinating various aspects of an event, such as conferences, meetings, weddings, parties, and other social or corporate gatherings. Managing an event’s logistical details, including selecting a venue, creating a budget, coordinating with vendors and suppliers, arranging audiovisual equipment, managing guest lists, and ensuring all necessary permits and licenses are obtained, usually falls on event planners. They also handle catering, transportation, accommodations, decorations, entertainment, and event promotion.

Successful event planning requires strong organizational and time management skills, attention to detail, effective communication, creativity, problem-solving abilities, and working well under pressure. Event planners often work in teams and collaborate with various stakeholders, including clients, vendors, and venue staff, to ensure a smooth and successful event.

Whether it is a corporate conference, a social gathering, or a personal celebration, event planning is an indispensable tool for ensuring remarkable experiences that resonate with participants long after the event concludes. Therefore, let us take a look at why event planning is important.

  • Strategic Vision and Objectives: Event planning helps achieve specific goals and objectives by understanding clients' vision, aligning objectives, and creating actionable plans.
  • Seamless Execution and Logistics: Event planners expertly manage complex logistics, coordinating with vendors, securing venues, and ensuring a smooth experience for attendees.
  • Enhanced Guest Experience: Event planners curate every element of an event to create exceptional guest experiences, from ambiance and decor to entertainment and catering.
  • Professionalism and Attention to Detail: Event planners bring professionalism and expertise to ensure compliance, minimize risks, and execute events flawlessly.
  • Time and Resource Management: Event planning optimizes time, money, and resources by prioritizing tasks, allocating resources efficiently, and adhering to timelines.

When planning an event, several important factors must be considered to ensure its success. Here are some key things to keep in mind:

  • Clearly define the purpose of the event and the specific objectives you want to achieve. Whether it is to educate, entertain, network, or raise funds, having a clear understanding of the event’s goals.
  • Establish a realistic budget that takes into account all the necessary expenses. Track your expenses throughout the planning process to ensure you stay within budget.
  • Select a suitable date and time for the event, considering factors such as the availability of key participants, seasonality, and potential conflicts with other events. Avoid significant holidays or conflicting industry events that may impact attendance.
  • Choose a venue that aligns with the event’s purpose and can accommodate the expected number of attendees comfortably. Consider location, capacity, accessibility, parking, and available amenities.
  • Develop a compelling and cohesive theme for your event. Create a visually appealing and engaging environment through decor, branding, lighting, and audiovisual elements.
  • Plan a detailed event program that includes key activities, presentations, performances, and breaks. Create a realistic and well-paced schedule that allows for each activity and considers attendee comfort.
  • Research and select reputable vendors and suppliers. Obtain multiple quotes, review contracts carefully, and communicate your requirements clearly to ensure their deliverables align with your expectations.
  • Develop a comprehensive marketing strategy to promote your event. Use various channels like social media, email marketing, press releases, and partnerships. Create engaging content and leverage early bird discounts or incentives to boost ticket sales.
  • Pay attention to the overall attendee experience. Consider factors such as registration and check-in processes, seating arrangements, networking opportunities, accessibility for attendees with special needs, and post-event surveys to gather feedback.
  • Anticipate potential challenges and have contingency plans in place. Prepare for inclement weather, technical difficulties, or last-minute changes. Create backup options and establish clear communication channels to address any unforeseen issues

How to Plan an Event

From the pre-planning phase to the day of the event, there’s so much to organize and keep track of.

Follow the event planning steps below to save your time and your budget when organizing a successful function.

  • Create an event planning checklist
  • Set a goal for the event
  • Organize your team
  • Establish your budget
  • Set the date and book your venue
  • Identify partners and sponsors
  • Market your event
  • Final preparations

A checklist can make a big difference when it comes to planning an event.

An event planning checklist will help you and your team keep track of things they need to take care of and execute things flawlessly.

Following is an event planning checklist template in the form of a mind map . You can customize it according to your event and invite your team to collaborate on it in real-time as well.

Event Planning Checklist Template

Establishing the goal of your event is one of the very first things you need to do when planning an event. Goals can be diverse; revenue, media attention, raising funds, the number of attendees, launching a new product, etc.

Define the purpose of your event or what you want to accomplish with it. And make sure the goal you set adheres to the SMART criteria , or in other words is Specific, Measurable, Attainable, Realistic and Timely.

Assemble a competent team that can help you achieve the goal you have set and you can delegate your work to without a second thought.

An organizational chart like the one below can help you clarify the roles and responsibilities and reporting relationships among the team members.

Event Planning Organizational Chart

As you assign each member responsibilities, it’s also important to figure out ways to communicate with them (i.e. chat software, email, etc.) throughout the planning process. And don’t forget to hold regular committee meetings to discuss the progress of planning and any issues.

Create an event planning timeline to highlight the individual tasks you need to complete and the relevant deadlines. It will help your team keep track of things.

Event Planning Timeline Template

Before beginning to plan, you need to consider your budget and see if your event planning needs align with it.

Following are the key areas you need to allocate money for (set realistic costs for each item) when setting a budget. Some of these items may not have fixed costs, but it’s important to make rough estimations in order to decide whether you can actually afford them.

  • Venue – This could include payments you have to make for rental(s) for the hall/ rooms, security deposits, parking, etc.
  • Staff – Consider the budget you have to allocate for the staff meals, transportation, and lodgings, especially if the event is out of town.
  • Food and beverages: food and water are essential items you need for the event. Consider several caterer options until you find one that fits your needs and budget.
  • Entertainment – Will you need any musicians, DJs or speakers? Allocate money for them as well as the associated transportation and housing costs.
  • Decorations – If you are going to decorate the event hall or stage with flowers, lights, etc. you need to estimate the cost for them as well.
  • Marketing – This should include any money you’ll have to spend on your effort to market your event, be it for Facebook ads or posters and flyers .
  • A/V – This includes all the equipment such as microphones, speakers, WiFi, cables, projectors, etc.

Event Budget Template

Invite team members in charge of different areas to complete the chart with relevant costs.

You might have a preset date if it is an event that is recurring. However, if it’s up to you, here are a few things you need to pay attention to.

  • Do you have enough time to plan before the day of the event?
  • Skip holidays such as religious or statutory holidays
  • Check whether the schedules of the key participants are free on that day
  • Depending on the venue and the type of event, consider the weather
  • And in case, pick the second-best date

Once you have selected a date, start looking for a venue that suits your needs. Here also you need to consider

  • Whether it’s available on the date and how far in advance you need to book it
  • Their payment, refund and cancellation policies
  • Whether it fits the type of event you are planning
  • Does the venue provide A/V equipment, WiFi?
  • Your seating arrangements and parking needs

Seating Plan Template

Community organizations and corporate sponsors can help cut costs, find more advertising opportunities, widen your audience and assist you with planning the event. And when you are seeking partners, you need to make sure that their vision complements yours.

There are varied ways to market your event. Depending on the best way to reach your target audience, you can leverage email marketing, flyers , social media, TV, radio or invitations, etc.

Ready your marketing material as your budget allows you. This could include logos, banners, posters, flyers, invitations, newsletters, etc.

Your event is only days away and there are a few more things you need to do to avoid any setbacks.

  • Check with your caterer and confirm the menu, food presentation and serving details, etc.
  • Make sure the venue is ready to be set up on the date and time you have booked it for
  • Check on all the other equipment you need for the event. Don’t forget to test them to see if they work when you’re finally setting them up.
  • Create an event schedule for you as well as your team

How to create an action plan (with free templates and examples)

An action plan template provides a ready-made framework for quickly adding the steps — like tasks, due dates, and assignees — to achieve your project goals. It’s a great way to ensure your project action plans are effective and consistent so everyone understands what’s expected.

In this guide, you’ll learn how to write an action plan step-by-step, with examples for inspiration. Plus, you can download two free action plan templates — including one from our Work OS — to get started immediately.

What is an action plan?

An action plan is a detailed blueprint that outlines the steps you, your team, or your organization will take to achieve a specific goal. It includes specific tasks or actions with due dates and assignees, a timeline, and the resources required to accomplish your goal.

Action plans include detailed information, such as:

  • A description of each action or task to complete
  • The person responsible for each action
  • Due dates for each task
  • Resources required to complete the action
  • Space to reflect or take notes after you have completed a task

What is an action plan template?

An action plan template is a pre-structured document that gives you a framework for crafting your new action plan. A practical action plan template has designated spaces for each aspect you need to cover, often presented in a table format like this.

Why is an action plan template important?

Leaders and managers use action plan templates to speed up the strategic planning process . Rather than spending unnecessary time designing the document used for planning purposes, project managers can simply pull up their template, save a new copy — keeping the existing template intact — and get straight to work scheduling and assigning tasks.

Action plan templates ensure consistency

Additionally, templates help to ensure consistency across plans and teams. When your organization uses the same action plan template for the whole company, it’s easier for team members to interpret and understand the plan — because they’re familiar with the format — and it contributes toward an organized, professional appearance.

Action plan templates help you plan more effectively

Action plan templates help project organizers plan more effectively by offering predefined categories and columns, reducing the chance of human error or omitting information from an action plan. In addition, you can apply any learnings from the project management process to your template. That way, you’ll consistently improve subsequent action plans.

While completing a project, you might find that some of the tasks in your task lists didn’t have clear outcomes. In addition, it wasn’t immediately obvious how to identify when the task was complete. So, you could borrow from the SMART goals framework — Specific, Measurable, Attainable, Relevant, Time-bound goals — and include a new column in your action plan template to note how you’ll measure if the task is complete.

And when using an action plan template built on a Work OS like monday.com, you can add your action plan to relevant project boards, create cross-team automations , and more — making it easier to collaborate with a distributed team in real time.

What are the essential features of an effective action plan template?

Action plan templates should contain the following features:

  • Multiple views — such as tables, timelines, Kanban boards, and Gantt charts to visualize tasks.
  • Task notifications — to detail and assign tasks to team members.
  • Structured layouts — to plan tasks based on priority, status, and resource allocation.
  • Collaboration ability — to maintain notes, comments, and files in one place.
  • Automations — to update task status and notify owners.
  • Status columns — to show the current status, such as Stuck, Working on it, and Done.
  • Dashboards — to track overall progress, timelines, and budgets.

What is the difference between an action plan and a project plan?

A project plan is more detailed than an action plan. Both list the tasks, timelines, and resources required to achieve a desired goal. But project plans also include:

  • Project goals and objectives
  • Project milestones and deliverables
  • Project scope and budget
  • Project roles and responsibilities
  • Project stakeholders and communication schedule
  • Project risk mitigation and contingency plans
  • Project success criteria

You can create an action plan from your project plan to outline the steps required to achieve your project goals.

What are the key elements of a well-written action plan?

A well-written action plan consists of seven components:

  • Goals: define what the action plan aims to accomplish.
  • Steps: detail the actions required to achieve each goal.
  • Items: determine the task dependencies and priorities.
  • Timeline: maps out the schedule and milestones from start to finish.
  • Resources: identify the people, tools, and budget required.
  • Responsibilities: assign tasks to an individual or a team.
  • Review: monitor the overall progress of action items completed.

What are some examples of action plan templates?

Now that we know what they do, let’s look at a few action plan templates.

Business action plan template

This template outlines how to write an action plan to track progress toward a specific business goal.

Example of a business action plan template

This action plan begins by detailing the primary goal, with the first column dedicated to a breakdown of each action required. For example, if your business goal was to design and launch a new website, your activities might include:

  • Gathering design assets
  • Choosing a color scheme
  • Copywriting for new website pages
  • Assembling design and development teams
  • Creating design wireframes
  • Design and development
  • Launch and promotion

Note that the second to last column in this action plan template is reserved for noting potential hazards. This helps identify roadblocks that might get in the way of achieving your goals to plan around them.

Personal development action plan template

Though action plans are most often used in a business context, they can be a handy tool to help you stay motivated and work toward your personal goals.

Example of a personal development action plan

This template allows you to break down your actions into a step-by-step sequence and includes a “How will I know I’ve been successful?” column to ensure that the actions you write down have a clear outcome.

Corrective action plan template

Creating an action plan can also be a great way to solve a specific business problem or even an issue with a particular employee’s performance. This is known as a corrective action plan, as shown in the example template below.

A corrective action plan template includes important columns, such as “metrics and constraints” — to help users complete tasks and plan for potential roadblocks — and “percent completed” — to help measure the progress toward the goal.

monday.com’s Action Plan Template

As you’ve seen in the examples above, the typical action plan format is a PDF or Microsoft Word document. While this is fine for goal setting and creating the plan itself, it’s not so great for putting it into action.

That’s why we’ve purpose-built a flexible, customizable, intuitive action plan template to use with monday.com.

When you design your action plan on monday.com, you can:

  • Access multiple views (such as a table, Kanban, and timeline) to work in a manner that suits your needs.

Timeline view in the action plan template

  • Assign tasks to individuals and notify them instantly.
  • Comment and collaborate on tasks to keep communication contextual.
  • Design custom automations to save valuable time and ensure nothing slips through the cracks.
  • Report on progress with the Progress Tracking Column.

Once there is buy-in from the team on the plan, it is easy to copy actions, dates, and assignees over to the task management board.

Because monday.com is a comprehensive Work OS, any action plans you create with this template also integrate with relevant project boards. In addition, comprehensive analytics make tracking easy.

How to write an action plan step-by-step

Never created an action plan before? Then, follow this simple guide and get started with the free template above.

1. Determine your goals

First, you need to understand what you’re trying to achieve. Then, make this goal as specific as possible.

For example, “increase sales” is not a clear enough goal. “Increase sales by 20% in quarter three” is more specific and allows you to set a metric for achieving it.

2. Break down the steps required to achieve each goal

What actions are necessary to get there?

In this example, that might include:

  • Hire three new sales development representatives
  • Increase content marketing budget by $20,000
  • Implement a new sales training program for new hires

3. Determine task dependencies and priorities

Remember: you can’t do everything at once! So now that you’ve broken down that big goal into bite-sized chunks, you need to figure out the perfect order for completing the tasks. In the above instance, you need to hire new sales representatives before starting a sales training program.

4. Set milestones

Now, set some milestones for significant events or checkpoints along the project. Some typical milestones are:

  • Completion of a substantial task or phase of the project
  • A significant event, such as a product launch
  • Important meetings, like customer review meetings

5. Add deadlines

When do you need to complete each task? Setting deadlines for each task helps your team stay on track and allows you to identify if your timeline for the larger goal is realistic.

6. Identify the resources you need

What’s getting in the way of completing these tasks? What do you require — perhaps from leadership or another team — to meet or exceed your goals? In our sales team example, we might need some assistance from the HR department to advertise an open role and attract new applicants.

7. Assign tasks to individuals

Who is responsible for each action? Assign a clear task owner to each task. Ownership doesn’t just make someone feel accountable; it empowers them to take the initiative and solve problems without dragging in management at every twist and turn.

8. Agree on a plan to review progress

Before you jump in and start your project, determine how you will measure progress toward your goals. For example:

  • Will you review your action plan every day or every week?
  • Will the task assignees or the project leader be responsible for updating the plan to reflect progress?

Determining these answers upfront means the action plan remains a living document reflecting actual progress.

FAQs about action plans

What’s the difference between an action plan and a to-do list.

An action plan and a to-do list are helpful tools for organizing tasks and achieving goals. A to-do list is a list of tasks to complete, but not necessarily for the same goal or project. Typically, to-do lists are less organized than action plans and can change daily. In contrast, an action plan follows specific steps and includes tasks that all lead to completing a common goal.

What's the difference between an action plan and a strategic plan?

An action plan and a strategic plan are essential for an organization’s long-term and short-term planning. A strategic plan outlines an organization’s vision for the future and helps prioritize goals, make resourcing decisions, and unite employees. On the other hand, an action plan makes the strategic plan operational by providing detailed instructions on how to accomplish those goals.

What’s the difference between an action plan and an implementation plan?

An implementation plan and an action plan are essential documents that help teams execute a project successfully. An action plan focuses on the specific tasks needed to achieve a goal. In contrast, an implementation plan is a more holistic document outlining the steps, teams, and resources required to execute a project successfully.

What Is an Action Plan Template?

An action plan template is a pre-designed format or structure that helps individuals or teams create an action plan. Use an action plan template as a framework to break down project goals into manageable steps, assign responsibilities, and track progress.

How Do I Write an Action Plan?

To write an action plan, start by defining your project’s overarching goal, then break your goal down into smaller tasks, assign responsibilities, and set timelines for each task. Regularly monitor project progress, and adjust the plan as needed.

To write an effective action plan, follow these steps:

  • Define Your Goal: Clearly state the objective or goal you want to achieve, ensuring it is specific, measurable, attainable, relevant, and time-bound (SMART).
  • Identify Tasks: Break down your goal into smaller, manageable tasks that are necessary to achieve the overall objective.
  • Set Timelines: Establish deadlines for each task, and determine the overall timeline for accomplishing the goal.
  • Identify Resources: Determine the resources required to complete each task effectively, such as tools, equipment, and personnel.
  • Assign Responsibility: Allocate responsibility for each task to a specific individual, team, or department.

Types of Action Plan Templates

There are several types of action plan templates available, all designed to assist individuals or teams in developing a structured plan of action to achieve goals or objectives. Pick the template that best aligns with your organization’s needs.

Explore these action plan templates to find the one that best fits your current project or goal:

  • Microsoft Word Action Plan Templates: A Microsoft Word action plan template is ideal when creating a customizable plan to achieve a particular goal or objective. This type of template saves time and effort by providing a pre-designed format that can be modified to meet individual needs and specifications.
  • Excel Action Plan Templates: Implement an Excel action plan template to organize and track tasks, timelines, and resources. These templates can assist individuals or teams in overseeing progress towards their goal, adjusting timelines and resources, and ensuring the plan remains on track.

Parts of an Action Plan

A comprehensive action plan should include a clear goal, a breakdown of tasks, a timeline for completion, identification of resources and responsible parties, monitoring and evaluation plans, risk management strategies, and key performance indicators (KPIs).

Although the specific parts may vary depending on the goal or objective at hand, an action plan typically consists of the following eight components:

  • Goal or Objective: Write a clear and specific statement of the goal or objective to be achieved.
  • Tasks or Actions: Break down the goal into specific tasks or actions required to achieve the goal.
  • Timeline: Create a timeline or schedule for completing each task or action and for achieving the overall goal.
  • Resources: Identify the resources needed to complete each task, including personnel, materials, and equipment.
  • Responsibility: Assign responsibility for each task to a specific person or team.
  • Monitoring and Evaluation: Develop a plan for monitoring progress towards the goal and evaluating the effectiveness of the action plan.
  • Risks and Challenges: Identify potential risks and challenges that may impact the successful completion of the action plan, and devise strategies for managing them.
  • Key Performance Indicators (KPIs): Establish specific metrics to measure progress towards the goal and evaluate the success of the action plan.

By including these components in an action plan, individuals and teams can ensure that their action plans are comprehensive, well-structured, and actionable.

Creating an Effective Action Plan

The best action plans are clear, specific, and flexible enough to accommodate changes. They should serve as a roadmap to help everyone involved in the project understand what needs to be done, who is responsible, and when tasks are expected to be completed.

Here are some tips to keep in mind as you begin to draft your action plan:

  • Set an Feasible Goal: Start by selecting an achievable goal and clearly defining your objective. Balance its significance with feasibility, considering the timeframe and resources available to you.
  • Brainstorm With Your Team: Engage your team when creating your action plan. Brainstorming can lead to a robust plan of action. In some cases, you might find valuable input comes from outside the immediate team.
  • Opt for Concrete Action Steps: Opt for action steps that are concrete, measurable, and attainable. Aim for well-defined steps instead of vague notions.
  • Assign Responsibilities Clearly: Determine who is responsible for each action step and who will provide support. While supporters assist in the process, they are not responsible for the final outcome of an action step.
  • Set a Clear Schedule: Establish a clear schedule for completing each action step. Whether your ultimate goal is a short-term project or a multi-year endeavor, breaking down the timeline for each milestone is crucial.
  • List Necessary Resources: Document all resources needed to complete your action steps. If you lack sufficient resources, include a strategy for their procurement.
  • Regularly Review Your Plan: As your action plan unfolds, review and update it regularly. Make necessary adjustments based on the tracking of your plan's progress.
  • Keep Key Stakeholders Informed: Communicate with key stakeholders about the plan's progress and its impacts as it progresses. Clear communication ensures everyone stays aligned and informed.

Blueprint, action plan, roadmap— tomato, to-mah-to! 🍅

Whether you’re pursuing a professional goal , developing a product, or building a house, you always start with a detailed plan to guide your next steps.

But it’s a little easier said than done. 👀

Powerful project management software is the key to creating and overseeing comprehensive action plans. And choosing the right action plan template for your software is the key to saving time on this step-by-step process while making sure you cover all the bases! 🔑

Even simple projects and goals require organized action plans, and action plan templates provide the perfect framework to help you turn these plans into a reality! While there are tons of templates at your disposal, they each carry a unique set of features and value depending on the size of your team, project, or goal.

Instead of combing through pages and pages of search results, start here, with 10 of the best action plan templates for ClickUp , Excel, and Word. You can access each template directly from this blog, and did mention they’re all completely free? 💸

What is an Action Plan Template?

What features make for a good action plan template, 1. clickup action plan template, 2. clickup corrective action plan template, 3. clickup employee engagement action plan template, 4. clickup cybersecurity action plan template, 5. clickup smart action plan template, 6. clickup daily action plan template, 7. clickup action priority matrix whiteboard template, 8. clickup management action plan template, 9. microsoft word action plan template, 10. excel business action plan template, step 1: define your end goal, step 2: break down the goal into manageable tasks, step 3: organize tasks into a timeline, step 4: assign responsibilities, step 5: define success metrics, step 6: review and adapt the plan, step 7: communicate and implement the plan, step 8: monitor progress and update as necessary, step 9: complete and review.

Your action plan is a detailed checklist of items that must happen in order to complete a project or reach a goal. You can make an action plan for virtually anything —and you probably already have!

Think of your action plan as a thorough list of every task included in a workflow or steps in a process. But what makes your action plan different than a simple to-do list is the amount of organization, information, and detail involved.

Your plan justifies the who, what, where, and when of your project and shows how each related task ties back to those ideas. This helps project managers streamline workflows and ensures that every action item is absolutely necessary.

Action plan templates take the “set up” out of setting up your roadmap. Your template may come in the form of a pre-built flowchart, list, document, or table where you can essentially plug and play your project’s information in the proper areas to guide your next steps in the process.

They’re excellent resources to have on hand for fleshing-out fresh ideas, during employee performance reviews when you’re planning professional growth, and so much more. Plus, action plan templates can be customized to more specific use cases and are designed to help you think more proactively and strategically about building processes .

What are the best features to look for in your next action plan template? In a nutshell, there’s a lot to keep in mind.

An action plan template helps you stay on top of your workflows and be more strategic about how you approach them. And since projects vary in complexity, industry, scope, and timelines, no two action plan templates will look or function the same. That’s why it’s so important to make sure you’re looking for the template that best suits your needs, rather than the one that’s just doing the most.

A good rule of thumb is to stick to these five qualities:

  • Multiple views : The ability to choose the way you visualize and complete tasks will put the power back in your hands when it comes to structuring and executing your projects. Every team member works differently, and whether you’re a visual learner or prefer working from a list, multiple views make every person’s preference possible.
  • Highly visual : Especially during brainstorming sessions and R&D, having the option to map out steps in a process is a major asset. Whether your team is using a digital whiteboard or mind map software , highly visual flowcharts and diagrams turn action planning into a more collaborative experience.
  • Intuitive UI : Your template might have all the right features, but if the team can’t figure out how to use them, the value is gone! Make sure your action plan template is easy to navigate, customize, and edit.
  • Collaborative and sharable : An action plan template can be for the entire team, not just the project manager. Everyone involved (including stakeholders) should have easy access to your template and the ability to add updates as needed.
  • Tons of integrations : Integrations extend the functionality of your project management software and fill any feature gaps your template might have.

And that’s just to name a few! Your team or project might require a few other more specific features, but starting with these five will guarantee a powerful and useful business action plan template .

A Cybersecurity Action Plan is a written framework outlining the steps and resources required to improve security posture. TechTarget defines security posture as “an organization’s overall cybersecurity strength and how well it can predict, prevent and respond to ever-changing cyber threats.”

A comprehensive cybersecurity action plan starts with an assessment of an organization’s current security posture —analyzing existing policies, procedures, systems, and infrastructure in order to identify any gaps or areas of vulnerability.

Based on this assessment, actionable steps can be taken to improve technical and non-technical aspects of security like implementing new technologies, processes, and practices. ⚙️

The ClickUp Cybersecurity Action Plan Template is a beautifully-designed Doc for any Security team to quickly customize for audience impact and understanding. As you go through the action plan process, you can collaborate with your team in real-time or async!

Individuals or teams will benefit from its organized layout and connected view of organizational goals. To begin, open the Getting Started guide within the project action plan template to make it your own so you can use it every day!

ClickUp Action Priority Matrix Whiteboard Template

An Action Priority Matrix is a visualization tool to help anyone assess and rank tasks based on how much effort is required and how important completing the task is for achieving the overall goal.

The action priority matrix typically includes four sections: action item/task, importance level, timeline, and completion status. This allows teams to easily rank action items by importance so they can make sure important tasks are completed first and within the allotted time frame.

Tasks with the potential to improve performance or mitigate risks should be given higher priority than those with no direct impact. Similarly, tasks with short-term deadlines should be treated as a higher priority than long-term goals in an action plan’s timeline.

The ClickUp Action Priority Matrix Whiteboard Template is perfect for project managers looking to optimize their action plans in order to improve performance over time. Teams can more easily identify which tasks need attention first while tracking progress along the way. The Getting Started guide in this template includes formatting tips and examples to get your Whiteboard action plan ready!

How to Create an Action Plan to Complete Tasks?

Creating an effective action plan is a critical step for businesses seeking to achieve strategic goals and operational improvements. This is where a comprehensive business action plan template becomes invaluable. Use the steps below along with one (or more!) of the ClickUp action plan templates above to get started!

Before diving into the planning process, it’s vital to have a clear understanding of what you aim to achieve with the project. This overarching objective will guide all subsequent actions and decisions, ensuring that every task contributes effectively to the end goal.

Once your goal is defined , list down all the tasks that need to be completed to achieve the goal. Breaking down the goal into smaller, more manageable tasks will make the action plan more approachable and easier to manage.

After task identification, organize them into a logical sequence with a start and end date. Consider dependencies between tasks and ensure there is a realistic timeline that accommodates potential delays or challenges.

Determine who in your team is best equipped to take on each task. Assigning tasks to individuals or teams based on their skills , expertise, and workload to ensure a balanced distribution of responsibilities.

It’s crucial to establish clear metrics for success to evaluate the progress and completion of tasks. This will help keep the project on track and ensure that the outcomes meet the expected standards.

An action plan should be a living document. Periodically review the plan to assess progress and make adjustments as needed. This allows you to address any issues promptly and adapt to changing circumstances.

Ensure that all team members understand the action plan and their roles within it. Clear communication is key to effective implementation. Once everyone is on board, put the plan into action.

As tasks are executed, continuously monitor progress against the plan’s timeline and success metrics. Update the plan as necessary to reflect any changes or shifts in strategy.

Upon completion of all tasks, conduct a final review of the project against your initial goals. This is a time to evaluate the effectiveness of the action plan and gather insights for future projects.

How to Plan a Successful Event: Free Checklist Templates

event action plan template free

Event planning can be a stressful business—whether you’re new to the game or a seasoned event planner with years of experience under your belt. You’ve got a lot of logistics to manage, details to keep up with, and guests to wow.

That’s why it’s so important to have a solid plan and process in place.

Learn what goes into a good event planning process and how to create an effective event planning checklist, with free templates and examples to help you get started.

What are the stages of the event planning process?

While no two events are alike, the basic steps for planning an event remain the same. Make sure your event planning process covers these 4 stages:

  • Planning : As the event planner, this is the heart and soul of what you do and where the bulk of your efforts will be focused. Your goal in this phase is to hammer out all the approvals, logistics, processes, and services needed to proceed with the event. Tasks may include finalizing a budget, assembling your team, developing a guest list, arranging transportation, and setting up the event registration process.
  • Promotion : This stage is all about getting the word out so you’ll have strong attendance at your event. It includes all marketing, PR, and promotional activities. Having a shareable event marketing & promotion plan in place makes coordinating initiatives and keeping everyone in the loop a whole lot easier.
  • Execution : Event execution is less of a phase and more of an onsite to-do list for all the moving pieces that need to come together on event day. Documenting these activities beforehand minimizes event-day stress and helps ensure your event runs smoothly from start to finish (minus the unpredictable mishaps that are bound to happen from time to time).
  • Wrap-up and evaluation : Once your event has come and gone, your work isn’t done yet. You’ll need to tie up loose ends, follow up with attendees, and take note of how the event went so you can improve your process the next time around.

Feel free to go into as much (or as little) detail as you want for each event planning phase when creating your plan. Just be sure to account for these general stages in the overall organization of your plan.

What is an event planning checklist?

An event planning checklist is a document that outlines all the tasks that need to happen and deadlines that need to be met to ensure your event goes off without a hitch. It’s an important tool in any event coordinator’s belt because it allows you to break your plan down and carefully track every detail.

What should an event planning checklist include?

Putting on an event is no small task. There are tons of details to keep up with—no matter the size of your event. That’s why having a solid event management plan is a must.

Consider these core activities when creating and organizing your own event planning checklist.

Planning and logistics

This is all about getting the nuts and bolts of your plan in order. Your budget, schedule, and guest list are important factors here. Don’t forget to include less glamorous tasks like shipping and transportation services too, if needed.

Venue details

Unless you have an existing relationship with a venue, it takes time to land the right location for your event. Keep track of vendor research, RFPs, and quotes until you find a winning venue that’s both on budget and available for your event.

The vendors you’ll work with will depend on your event type and scale. Common event vendors include caterers/food and beverage, photographers, and florists. You may want to track the entire process—from research to deposit—in your checklist, and note any follow-ups you’ll need to do to ensure everything’s good to go when event day rolls around.

Furniture and decor

Some venues build furniture and decor into the packages they offer. That makes things easy! But you’ll still want to track the time it takes to choose and order these items. If onsite rentals aren’t an option, set up tasks for renting or procuring items like tables and chairs, linens, and specialty lighting.

Presenters and entertainment

This is the main attraction that draws guests in! Whether you’re planning for a sales meeting or a talent show, you’ll need to make sure everything is booked and the proper equipment is ready to go. Consider things like A/V services, presenter and/or entertainment schedules, and music (even if it’s just going to be in the background).

Marketing and promotion

What’s the point of an event if no one attends? How you promote your event can make or break turnout, which is often the key indicator of success. Emails, social media, and PR will help you get the word out on the front end. You may also want to distinguish your event with event-specific branding and materials.

Check out our event marketing & promotion template for a more detailed promo plan.

Registration

Capturing attendee information is critical for finalizing headcount, managing onsite check in, and following up with thank yous, pictures, and/or sales calls after the event. So be sure you have a solid system in place to make registration and follow-up seamless—whether you build your own process or use tools like Eventbrite or Facebook for your event.

Event schedule

You’ve got a lot of to-dos to keep up with on the big day. Creating an event day checklist helps you keep calm and focus on the most important things. Jot down a list of day-of tasks and reminders, like clients or stakeholders you need to check in with, vendors you need to meet onsite, or items you need to pick up. If any tasks need to happen at a specific time in the event schedule, be sure to make note of that in your plan.

You can extend a positive experience to your guests even after the event dust settles. Send thank you notes or emails to attendees, settle outstanding payments with vendors, and take time to reflect on what went well and what you can improve for the next event you plan.

Free event planning templates

We know it’s not easy to build such a detailed event checklist from scratch, so we created 3 free event planning templates to help you coordinate and manage events at any scale.

Many events follow a similar blueprint, so templatizing your process will help save you a lot of time when you’re planning future events. Just make a copy of your plan, and adjust it to fit your current event.

Use these templates to plan organizational events—such as client meetings, off-site retreats, seminars, or product launches. Or adapt them to charity functions, holiday parties, and more.

Choose your template based on your need for team collaboration and the level of detail you want to build into your event plan.

Excel event planning checklist template

Our event planning Excel template is a great starting place to get your plan in order so you can manage and track important tasks and milestones. It features the core activities outlined above and can be used by event planners in any industry.

A couple of quick formatting notes:

  • Milestones are listed in the Task Description column with bold and italicized text so it’s easy to spot important project checkpoints.
  • The Progress and Resource Assigned columns feature drop-down lists to speed up data entry. You can edit the options for each drop-down on separate worksheets in the event planning checklist template.

Automated formulas have also been applied to the following columns for each main task group row:

  • Progress : Calculates the average % complete for the task group
  • Start date : Pulls in the start date of the first task in the task group
  • End date : Pulls in the end date of the last task in the task group
  • Estimated hours : Calculates the total sum for the task group
  • Actual hours : Calculates the total sum for the task group

Use this spreadsheet to stay on top of all the little details and to-dos. Just keep in mind that it works best for simple events that don’t require complex coordination or cross-functional collaboration.

Event plan examples and best practices

Your event management plan is your roadmap to a successful event. Here are some practical examples of how you can use TeamGantt’s different features and views to plan and manage events more easily.

Build and track your big-picture event plan in Gantt view

Just because your event plan acts as a checklist doesn’t mean you can’t see how tasks stack up over time. Using a gantt chart to plan your event gives you the best of both worlds: a detailed task list and a visual project timeline.

Group activities by type or phase, and set the expected duration for each task you need to accomplish. That way your team and stakeholders have a clear picture of what’s happening when so you can ensure your event plan stays on track.

Rearrange timelines easily with drag and drop scheduling

Plans change, but you shouldn’t have to spend hours making and communicating schedule updates. In TeamGantt, adjusting your timeline is as simple as dragging and dropping tasks into their new rightful place. If anyone’s assigned to a task that gets moved, they’ll automatically get notified of the change.

Ask your team to update progress along the way

This saves you from having to constantly chase down updates. Encourage team members to make updating the percent complete a daily habit so everyone always has a current picture of how much work’s been done. Tasks that are 100% complete can be officially checked off your team’s to-do list!

Add dependencies to connect related event tasks

Sometimes one task needs to happen before the next can begin (like hiring a caterer before deciding on a menu). Dependencies ensure tasks always happen in the right order, even if you move things around.

Use task checklists to break event to-dos down even further

Want to get granular with tasks without cluttering up your gantt chart? Task checklists enable you to account for the tiniest to-do and make sure it gets crossed off your list. This is a great way to capture all your event-day tasks and mark them as complete as you go.

Store team conversations and event files directly in your plan

With TeamGantt, your important files and conversations can live in a single place. Attach documents such as quotes, proposals, budget spreadsheets, vendor contact info, and more! Use comments to communicate updates and collaborate with team members on all the hard work that goes into an event.

Review the status of your event plan in meetings with List view

At TeamGantt, we’re a little biased toward gantt charts—but we know they’re not for everyone. That’s where our List view comes in handy. Viewing your project as a simple list may be helpful for status meetings with your team, boss, or other stakeholders.

Identify potential project bottlenecks in Calendar view

Calendar view enables you to turn your event checklist into a calendar in one click. That makes it easy to see what’s coming down the pike and evaluate how tasks are stacking up on any particular day, week, or month. Use this view to get ahead of task conflicts before they put you in a time crunch.

10 Free Event Planning Templates & Checklists to Organize Successful Events in 2024

Running an event management agency or managing your personal event? Read on to become a pro in event planning with easy to use templates.

Event planning sounds fun and easy but when you get to the core of it, well it’s one hell of a task.

The first step in event planning is establishing the goal, which the sponsoring organization wants to achieve.

Planners select speakers, entertainment, and content, and then bring everything together to organize the event to best communicate the firm's message.

Events can include Corporate meetings, Conferences, Birthdays, Weddings, and whatnot. No matter how big or small the event, if you don’t want to mess up, better select an Event Planning Template and get started.

Why is Event Planning important?

Event planning is way too stressful,  yet if you manage to execute every little detail to perfection then your peers will have quite a reputation to keep up to.

Event Planning can either make or break the mood of the party. You can get the staging right and music wrong, or get the fresh flowers and end up serving tasteless food, either way your event is ruined already.

Though it can be a tough job, if you are an organized person, with the help of Event Planning Templates , you can achieve what looks to be impossible to many.

Here are the basic steps that are followed in any successful event

1. create an event goal and objectives.

Before you get too excited and dive right into planning, take a step back and look at the bigger picture. Note down the outcome of your project.

2. Organize Your Group

Decide how many sets of hands you would need and divide work among them.

3. Volunteer Recruitment and Training

Hire volunteers and train them. Set out the basic rules you want everyone to follow, time guidelines and quality of work are important ones.

4. Set Your Budget

Make sure you are not in over your head. Talk to the sponsors and keep everything under budget. Also, don’t forget to leave wiggle room for miscellaneous expenses or last minute expenses.

5. Select a date

Select a starting date for various tasks involved in the project. This way you will not end up paying extra to the canopy guy or miss out on music because you called the Dolby Audio guy too late.

6. Make a Master Event Plan

Have a backup for crucial things. Right from paper napkins to candles, make a note of everything.

7. Choose a planning template

Since you are only human, it is quite obvious that you might still make some mistakes. So, to avoid it, make sure you use a planner. Everytime you take a look at it, you will get an overall view of what's happening and what needs to be done.

8. Confirmation of Speakers, venue, and more

Confirm with speakers, venue, catering, and make sure you check everything off the list. Now all you have to do is wait for the event and follow the Protocols on the day of the event.

Think back to the last event you attended. Odds are you didn’t just show up to the event without knowing the event’s purpose and speaker lineup. Maybe you saw promotional clips on social media or used the agenda on the event’s website to scout your favorite speakers. Thanks to all that hype, you probably had a pretty good idea of what to expect and were excited to attend.

All of that—promotion that drives awareness and excitement and boosts audience attendance—doesn’t just happen. It’s the result of a dedicated event marketing plan, which maps out all the promotional activities for an event, from pre-event planning to post-event follow-up.

Event promotion plans are complex, but managing them doesn’t have to be. Asana’s event marketing plan template lets you organize your event marketing strategy in one place, so you can plan, promote, and produce an unforgettable event.

[Product UI] Event planning project example (Timeline)

What is an event marketing plan?

An event marketing plan is exactly what it sounds like: a plan to market and promote an event. The purpose of an event marketing plan is to capture attention and increase event awareness, so you can reach your target audience and drive attendance.

Your event marketing plan should include an in-depth breakdown of the promotional timeline, including all the steps you’ll take to market your event. That means tracking everything from your pre-event planning (like creating a potential attendee list) to larger promotional initiatives (like launching an event website) and smaller marketing items (like sending out an email blast). You should also track follow-up promotional events, such as posting an event recap on social media.

Why do you need an event marketing plan?

Event marketing helps spread the word about your upcoming event and drive higher audience attendance. By using an event marketing plan, you can launch event initiatives when your target audience is naturally engaging with media. In short, a well-crafted event marketing plan makes sure your event promotions launch at the right time and in the right place.

That’s not always easy—but an event marketing template can make it a little easier.

What is an event marketing plan template?

An event marketing plan template is a framework that allows you to map out your event marketing tasks. Asana’s event marketing plan template lets you see every promotional to-do leading up to the launch of your event, from planning to execution. It also helps you manage day-of and post-event tasks.

Plus, since our template is a duplicatable resource, you can customize it to use for specific events. For example, say you host different business events, such as industry conferences and product launches. Because each type of event will have its own timeline, you can create one template specific to each event type. This way, you have curated templates for each event type that you can use to plan future events.

Once you’ve built your template, you can share it across teams, so every stakeholder can see how the event marketing plan is laid out and stay on the same page about what’s happening when.

What’s included in Asana’s event marketing plan template?

Our pre-built event marketing plan template includes custom sections and tags to help you plan, organize, and launch your event promotions.

Using the template’s baseline structure, you can break down your event marketing plan to outline essential steps in the promotion process, as well as corresponding tasks, including:

Planning tasks, such as developing your messaging, creating an invite list, or launching an event registration landing page.

Promotion tasks, such as sending out a press release or launching a social campaign.

Day-of-event tasks, such as posting to Instagram as keynote speakers kick off.

Post-event tasks, such as sending thank you emails or posting an event recap blog.

Additionally, you can color code custom tags to track related task information, including:

The team member responsible for the task

The task’s due date

Task progress, such as if it’s not started, in progress, or completed

The task’s approval status, such as if it’s ready for review, approved, or needs changes

What Is an Action Plan Template?

An action plan template is a tool that helps project managers visualize the steps to take for the successful completion of a project. Those action steps are further broken down into subtasks known as action items. ProjectManager’s action plan template for Excel helps you organize these elements on a spreadsheet.

A project action plan template is an important project planning tool because it also describes the team, time and resources needed to complete the project successfully. It includes a timeline that organizes tasks, their priority and the team members responsible for them.

Even though they have the same basic elements like goals, action steps, tasks and a timeline, there are several types of action plan templates such as business, strategic and corrective action plan templates. Our action plan Excel template can serve any of those purposes, and its spreadsheet can be easily adjusted to fit your needs.

Why Use an Action Plan Template?

The action plan template is a useful planning document because it provides a framework for thinking pragmatically about getting work done in an efficient and effective manner. Using an action plan helps one order the project action steps in a logical way and ensures that you don’t neglect critical tasks along the way. Action plan templates facilitate the project planning process because they include all the essential fields for an action plan.

It’d be nearly impossible to plan a project, large or small if you don’t write an action plan format that allows you to chart the time and resources needed to get the job done. An action plan tells you who is doing what, by when and with which resources.

The action plan template is a useful planning document because it provides a framework for thinking pragmatically about getting work done in an efficient and effective manner. Using an action plan helps one order the project action steps in a logical way and makes sure that you don’t neglect a critical task along the way. Action plan templates facilitate the project planning process because they include all the essential fields for an action plan.

When you finish filling in your action plan template, all the goals, action steps and tasks are laid out in one place. This helps the project leader to assign or contract tasks as well as note priority levels.

It would be nearly impossible to plan a project, large or small if you don’t write an action plan format that allows you to chart the time and resources needed to get the job done. The name of the action plan is also helpful. It avoids jargon so your team members can clearly understand its purpose.

Project management software can turn an action plan into a viable project schedule. ProjectManager takes your tasks and puts them in a Gantt chart , where progress is updated automatically as your team completes their tasks. If a scheduling conflict arises, drag and drop your project timeline and every deadline adjusts accordingly. Plus, managers can monitor team workload allocation to balance tasks and keep their teams productive.

Who Should Use an Action Plan Template?

Project managers are usually in charge of creating the action plan, keeping track of its progress and making sure the entire project team is updated. However, the action plan itself has individual team members assigned to each step and action item, which they are responsible for completing.

Usually, the project manager defines the goals, action steps, tasks, due dates and priority levels of the action plan. But larger projects have bigger staffs and there a project coordinator or other personnel might be responsible for the action plan. Whoever completes the action plan template, the project manager is going to have the final say and will have the authority to update it as plans change.

When Should You Use an Action Plan Template?

You should use an action plan format whenever you need to plan simple projects, manage your personal or team’s work, implement initiatives in your organization and other similar purposes. Action plan templates are meant to facilitate the execution of work by helping leaders and team members better understand the different tasks to be completed.

For larger projects, it’s advised to use project management software like ProjectManager , so you can plan with Gantt charts, kanban boards, task lists, project calendars and more.

How to Use This Free Action Plan Template for Excel

Our action plan template for Excel is broken down into three sections. One for listing action steps, one for building a timeline , and one to identify resource requirements.

1. List Your Action Steps and Action Items

As mentioned above, action steps are made up of tasks, or action items. The first part of this action plan template lets you list the action items for each action step, as well as task status, assignee and the phase it which it belongs.

  • Priority: Each task will have a priority attached to it. That is, it’ll be determined if the task is a high, medium or low priority, which helps you make a more realistic plan.
  • Tasks: This is where you list every task that must be taken to complete the action steps and achieve the project’s goal. Be thorough and brainstorm with the team. The more detailed, the better.
  • Phase: Here, you’ll note where the action step takes place over the course of the project life cycle, such as in the planning stage, execution, closing, etc.
  • Assigned: Determine ownership of each individual task by assigning it to a specific team member. They’ll then be responsible for seeing the task through to completion.
  • Status: Here’s where you chart the progress of the work done on each task. Enter a completion percentage or any status that you wish to assign to track progress.

2. Estimate Time for Each Task

Once you’ve mapped out your action steps and action items, you can start assigning a start date and end date to each task and estimate their durations. This information will be needed to create a timeline.

  • Start date: This section is your schedule. Each task is tagged with a time in which it must begin to keep the project on track.
  • Due date: It is here that the due date is determined, so everyone working on that task is clear about when they must have it completed.
  • Planned hours: When planning, you have figured out how much time can be allotted to each task. Here is where you put that information.

3. Identify Resource Requirements

Here you can list the resource requirements for each task. Simply estimate what resources will be needed and estimate a cost for them. There’s also a field to indicate which department is in charge of each action item.

  • Department: Which department is responsible for the task, marketing, dev team, etc.?
  • Materials required: What materials are needed for completion of that task, software, equipment, materials, site, etc.
  • Cost: What amount of funding has the budget allotted to this task?
  • Notes: Finally, this is a catchall for any information needed to capture which doesn’t fit in any of the other categories.

How to Create an Action Plan with ProjectManager

Although action plan templates are a good place to start your project management journey, they’re static documents. If you want to take your planning to the next level, you need to use project planning software like ProjectManager.

Because ProjectManager is online software, you can invite your team to the tool. No matter where they are or when they’re working, as they update their progress it will be instantly reflected on the software’s real-time dashboard, which can filter the information to show only what you want.

Then you can create graphs and charts to make that data easy to read and share with stakeholders or team members, formatting the graphics generally or specifically, depending on the person’s need.

gantt chart action plan template in projectmanager

As noted, alerts can be created to let team members know when the action plan tasks are near due. Alerts can also be set up so the team leader is aware of those impending due dates or if a task is overdue, which can help them reallocate resources or do other things to get the project back on track.

An event action plan is written in a form of document wherein it covers aspects such as safety during events in a particular organization, the location of the event, and other necessary details needed. It is commonly used by contractors, event organizers, and emergency personnel for the purpose of laying out the goals , outcome, development and safety of the event. These documents should be written in a detailed manner, so it advised to use a template to make sure that the output is clear and concise. This can be a little bit complex, but if you are able to determine what is best for the project, everything will be done smoothly.

Without having a plan, you are increasing the risk of chaos, disorganization, and the inability to meet the standard requirements and objectives of the event. You should be able to follow a certain structure to ensure success. Instead of spending your time thinking about what you have to plan next, you might want to consider following these stages that would guide you in your planning process.

It is believed that there is a need to conduct research prior to the actual planning. This is true. Without conducting a research , some plans might turn out to be a disaster or a waste. In order to do this, prepare a list of questions needed for your research. This would help you become efficient. Find out the main goal. Is it to be able to raise money? For training? Or for whatever reason that is. Make sure that your goals are clear so that you can use it when you want to measure how successful your event is afterwards.

This stage involves finding the right venue, number of guests, and the purpose for your event. Delegate some of the tasks and responsibilities to your team members so that it would be easier to work on. It would also prevent you  from being too overwhelmed with the details pertaining to the event.

Make sure to find a way that shows that your event is something worth attending. Think about a unique name, tagline or logo. This would help in making your brand more successful. As soon as you make it public, you can use your email, social media advertisements , and an invitation list for promotion.

Everyone who has a role in the event should know what is expected of them. With that, you should be able to give them schedules to guide them for a clear start and finish time. This is the stage where you have to exert more effort and hard work.

It is not necessary to use a formal evaluation sheet for this stage. However, conducting an evaluation is an essential process especially if you are new to the work specifically in planning and collecting for feedbacks in order to build a good reputation as a planner. After the event, assess if the goals of the event are met. The only way to improve is to have a willingness to grow and improve.

The 5 C’s are concept, coordination, control, culmination and closeout.

It depends on every event planner . Some would take at least 48 hours, some would even go up to a month especially if the client has a lot of demands and changes to make.

Recently, event planning is definitely booming. There have been a lot of bookings for different events and a lot of people would prefer something less hassle so they would always find time to look for an event coordinator.

Now, you already have a perfect formula that will help you plan out an event. The guidelines that were written in this article will keep you organized and focused in order to make the most of your event. Take note that when you do event planning, you also have to take a certain level of flexibility. If you want to look for more samples, you may check out event action plan samples and templates in the article.
